Overview
The Administrative Assistant provides administrative support as the first point of contact for the department, handling in-person and phone inquiries, coordinating appointments, maintaining supplies, scheduling room reservations, and supporting the development of policies and procedures. Maintains confidentiality and presents a professional image in communication and conduct.
Responsibilities
- Serve as the first point of contact for the department, answer telephone calls, assist callers, and coordinate appointments.
- Monitor and / or order office supplies, keep supplies organized, and arrange equipment repair and service.
- Distribute and process mail, schedule room reservations, and maintain room calendars.
- Assist with developing policies and departmental forms; maintain up-to-date unit-specific data, logs, and reports for management.
- Perform other duties as assigned.
Team / Program Involvement
FAITH COMMUNITY NURSING : Participate in event planning and represent Hoag FCN at community and inter-faith events.CCU : On board all contracted dialysis nurses, ensure compliance with contract employee requirements, manage daily dialysis charge sheets, reconcile monthly charges, and collaborate with Finance to resolve billing issues.GAMMA KNIFE : Coordinate and schedule Gamma Knife consultations and procedures; assist the RN with pre- and post-operative duties.Qualifications
High school graduate or equivalent required.Working knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and healthcare database systems required.Bachelor's degree in a healthcare-related field preferred.Minimum 0-2 years' experience required; three years' administrative support experience in a corporate environment preferred.About Us
