Job Summary :

We are seeking a detail-oriented Warehouse Office Administrator to play a key role in ensuring smooth and efficient warehouse operations by managing administrative tasks, coordinating communications, and maintaining records at our Distribution Center at SBM Life Science. This individual serves as a liaison between warehouse staff, management, and external partners, supporting both the operational and clerical needs of the facility.

Minimum Qualifications :

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • 2+ years of administrative experience, preferably in a warehouse, logistics, or distribution environment.
  • Proficiency in Microsoft Office (Excel, Word, Outlook); experience with WMS or ERP systems a plus.
  • Strong attention to detail, organizational skills, and ability to multitask in a fast-paced environment.
  • Excellent communication skills—both written and verbal.

Essential Functions and Responsibilities :

  • Administrative Support :
  • Maintain accurate records for inbound and outbound shipments, inventory, and logistics.

  • Prepare and distribute reports (e.g., daily shipment logs, inventory counts, KPIs).
  • Process shipping and receiving documentation in warehouse management systems (WMS).
  • Track orders and coordinate with carriers and vendors as needed.
  • Clerical Functions :
  • Manage office supplies and ensure administrative materials are stocked.

  • Handle filing, scanning, data entry, and other routine office tasks.
  • Answer phones, direct calls, and respond to emails and general inquiries.
  • Operational Coordination :
  • Assist warehouse leadership in scheduling, timekeeping, and labor tracking.

  • Support compliance with company policies, safety standards, and quality procedures.
  • Help new employees onboard by organizing training materials and documentation.
  • Customer and Vendor Communication :
  • Coordinate with customer service, sales, and supply chain teams to ensure order accuracy and timely delivery.

  • Communicate effectively with external vendors, freight carriers, and service providers.
  • Physical Requirements :

    Must be able to lift 30 lbs

    Travel Requirements :

    Some travel based on Distibution and Logistics activities.
