As the Executive Assistant, you will have the opportunity to :
- Work under general direction of the President and Chief of Staff in Fuels & Natural Resources to provide administrative support services and perform broad range of administrative functions based upon understanding of company policy, manager's views and philosophy
- Deal with matters of the highest confidential nature that involve strategic operations, legal or financial issues, requiring utmost diplomacy and sensitivity
- Work on non-routine duty and tasks, requiring substantial and regular independent judgment
- Possess thorough knowledge of workgroup's policies and procedures, as well as in-depth understanding of company policies and processes
- Frequently interact with upper management within and outside their workgroup
- Exchange information with key external contacts, such as board members, financial stakeholders, and outside consultants
Key Responsibilities :
Organizes flow of administrative work through supervisor's officeOrganizes and prioritizes activities for manager(s), including controlling access to manager's calendarMaintains manager's or work group's calendarActs as manager's delegate in assigned areasScreens and responds to telephone and email inquiries, as well as written correspondence, on behalf of managerPlans and arranges meetings, travel, and events, and coordinates applying for international travel documentsResearches, analyzes and summarizes informationServes as a resource to others in the resolution of problems and issuesRefers the most complex issues to managementContributes to the development of other department or company initiativesGenerates simple to complex documents, such as letters, memos, spreadsheets and presentationsCreates expense reportsMay coordinate completion of timesheetsReviews and approves timesheetsMay code, route, and track invoicesMay review expense reports for complianceMay verify accuracy of invoices prior to approvalPerforms other general clerical duties as neededPreferred Qualifications :
