Job Description
Our client is located in San Antonio and looking to add an Executive Assistant to their team . The Executive Assistant will be an expert handling a wide range of administrative and executive support-related tasks. The Executive Assistant will be a highly resourceful team-player, who is comfortable under pressure, while remaining flexible, proactive, and efficient. You will have strong written and verbal communication, and organizational skills, and be able to maintain a realistic balance among multiple priorities.
Responsibilities
- Manage an extremely active calendar of appointments, complete expense reports, compose and prepare confidential correspondence.
- Maintain executive files, arrange detailed travel plans, itineraries, and agendas; and compile documents for travel-related meetings.
- Anticipating the Executives’ needs and proactively bringing together appropriate people and resources to support the executive in addressing these issues.
- Represents the Executives by welcoming visitors, arranging company dinners and other corporate functions; answering questions and meeting requests directed to the Executive office.
- Assists in coordinating the agenda of Senior Management team meetings and off-sites, and all staff meetings.
- Managing external contacts; proactively understanding who they are, who the primary contacts are, and keeping track of periodic communication needed for primary contacts.
- Assists in investor outreach including setting up meetings, managing investor conference participation, and associated travel.
Qualifications
Bachelor’s Degree5-10+ years of Executive SupportInvestment Management / Banking / Financial Services Industry experience is requiredHeavy calendar managementStrong travel booking experienceExpert level in Microsoft Office Suite
