Screen all calls and assist callers when possibleSchedule appointments and maintain calendars for the ExecutivesAssist with planning or research for special events , seminars, special projectsCommunicate to executive team on status of prospective clients and renegotiated management agreements for existing clientsPrepare marketing correspondence, proposals, and management agreements for prospective or new clientsPrepare meeting materials for presentations to prospective clientsSet up conference room with refreshments and computer access for meetingsCoordinate, compile and distribute After Hours On-Call Roster on an ongoing basisMonitor emails to info@resourcepropertymgmt.com and forward to the appropriate partyInform owners of building maintenance issues, schedule maintenance & repairsMonitor and replenish office supplies, RPM branded printing materials, conference room refreshments and any other ongoing needs for the operation of the officePurchasing for both corporate office and associations utilizing corporate credit cardCreate and track Check Requests to ensure RPM is reimbursed timelyAudit meeting minute check requests for board or membership meetings ensuring consistency and accuracyReview, calculate and communicate changes to the monthly management feesSupervise Seminole receptionistOther duties that may be assigned during employment Education and Work Experience Requirements :3+ years of senior level executive administrative assistant experienceHigh school diploma or GEDFlorida CAM licenseFlorida driver’s license Physical Demands / Requirements :Ability to safely & successfully perform the essential job functions consistent with RPM procedures, handbooks, training, and safety manualsAbility to maintain regular, punctual attendance consistent with RPM policiesMust be able to lift and carry up to 20 poundsMust be able to speak clearly and hearFrequently required to stand, walk, sit, reach with hands / arms and type correspondenceOccasionally required to stoop, crouch, or kneel Skills :Strong communication and interpersonal skillsEffective problem-solving and decision-making abilitiesExcellent leadership and team management skillsAttention to detail and accuracyConflict resolution and negotiation skillsComputer proficiency, including HR software and systems Abilities :Ability to maintain confidentiality and handle sensitive informationAbility to multitask and prioritize tasks effectivelyAbility to adapt to changing company trends and practicesAbility to build & maintain positive relationships with co-workers and clientsAbility to think strategically and contribute to overall organizational goals Powered by JazzHR
