The TANF Liaison, Administrative Assistant will provide office services by implementing administrative systems, procedures, and policies. Additionally, they will monitor administrative projects and activities for management at the Career Development Center.
QUALIFICATIONS :
Minimum Qualifications : High School diploma or equivalent. Two years of clerical, computer, and customer service experience. At least two years of high-level Program Participant Liaison responsibilities. The incumbent will be required to present in a professional manner. A background check and valid Colorado driver's license is required.
KEY RESPONSIBILITY AREAS :
Relationship Management :
The TANF Liaison will communicate routinely and consistently with all co-workers, staff, and customers in a proactive and positive manner. The incumbent will work with all CDC programs and staff. The incumbent will use good customer service skills and approaches with all clients. In addition, the incumbent will deal effectively and calmly with non-routine situations following accepted guidelines.
Administrative Support :
The incumbent will prepare meeting agendas in advance and arrange meeting facilities. The TANF Liaison will be responsible to assist the CDC team in any assigned clerical work to include, but not limited to : Taking meeting notes, contacting internal support to assist with IT and other issues, managing Microsoft Outlook Calendars, ordering and tracking supplies, answering phones, performing a variety of responsible office support work such as composing confidential correspondence and resolutions; preparation of spreadsheets and reports, scheduling meetings, welcoming visitors and new hires, maintaining office efficiency regarding all office equipment. The TANF Liaison will function as the TANF Coordinator for the Management team of CDC, primarily focusing on assisting the Operations manager. The TANF Liaison will be responsible for office upkeep including but not limited to checking the mail, ensuring the office and kitchen have all needed supplies, and communicating with property maintenance as needed. The TANF Liaison will attend to all administrative detail duties of the Operation Manager. The incumbent will assist in keeping all documentation / projects on schedule and take initiative in the absence of management and will perform any other duties as assigned.
Processing, Tracking and Reporting :
The TANF Liaison will be responsible for all statistical data collection and reporting to include monthly program outcomes, ASR, employment log, and Character of the Caseload data for the Operations Manager. To include meeting with the Contract and Programs analyst to ensure the information is clear and accurate. The incumbent will assist in the tracking of Subsidized Employment funds as well as any other grant dollars used. Being timely is mandatory.
Project Management :
The TANF Liaison will keep all assigned projects on schedule. The incumbent will coordinate workflow and update / chase delegated tasks to ensure progress to deadlines. The incumbent will report project progress to The Director of Career Development Center regularly.
The TANF Liaison will assist case managers monthly including but not limited to the following : beginning of month data entry, returning client phone calls and communicating messages to case managers, rescheduling case manager appointments and or finding coverage for those appointments when needed, providing resources and directions to clients when appropriate.
Safety :
The TANF Liaison will be the office's designated safety representative and be expected to attend monthly Goodwill safety meetings, give monthly safety presentations to the team, and ensure the office is complying with all safety guidelines and requirements.
Research :
The TANF Liaison will conduct research, as assigned, compiling all information for management when needed.
