Dental Operations Assistant – High-End Cosmetic Dental Practice in Long Beach, California

We are an out-of-network, fee-for-service office that prides itself on delivering an elevated patient experience in a serene, professional environment. We are seeking a Dental Operations Assistant to oversee patient care coordination and office processes with precision, compassion, and integrity.
The Dental Operations Assistant is responsible for ensuring seamless patient experiences from initial contact through treatment completion. This role focuses on patient relations, treatment presentation, financial coordination, and process management , rather than direct staff supervision. The ideal candidate is detail-oriented, personable, and experienced in high-touch patient communication within an out-of-network dental setting.

- Monday 9AM - 5PM
- Tuesday - Thursday 8AM - 5PM
Key Responsibilities
Oversee day-to-day patient flow and administrative processes to ensure an exceptional patient experience.Utilize Dentrix Ascend for all clinical and administrative functions, including scheduling, billing, treatment planning, and reporting.Create, phase, and present treatment plans with clarity and confidence, ensuring patients understand their care options and financial commitments.Prepare and manage financial arrangements according to established office policies and protocols.Handle billing, payment posting, and claims tracing with accuracy and timeliness.Maintain strong patient relationships through proactive communication, follow-up, and service excellence.Oversee scheduling, confirmations, and phone communications to maintain an efficient and productive schedule.Support front desk and reception duties with warmth, professionalism, and attention to detail.Collaborate with the dentist and clinical team to improve processes, enhance patient satisfaction, and uphold the office’s high standards.Qualifications
Minimum 3 years of experience in a dental operations, treatment coordination, or management role.Dentrix Ascend proficiency is mandatory.Strong knowledge of treatment planning, phasing, and presentation in both general, cosmetic dentistry and implant restoration.Experience in out-of-network or fee-for-service dental practices preferred.Exceptional communication and interpersonal skills, with a calm and professional demeanor.Ability to manage multiple priorities efficiently in a fast-paced, high-end environment.Strong organizational and problem-solving abilities with meticulous attention to detail.Compensation & Benefits :
