Executive Assistant Corporate Strategy
This position provides executive assistant and administrative support with a high level of independence, initiative, discretion, accuracy, and attention to details. Confidentiality in this position is crucial.
Responsibilities for this position may include but are not limited to :
- Handles all executive assistant responsibilities. Manages VP's calendar in Outlook. Coordinates logistics and agendas for meetings, conferences, events, and special functions
- Calendar and Travel Management : Coordinates domestic and international travel logistics. Prepares detailed itineraries and coordinates agenda and pre-read with appropriate business unit for trips via Teams. Tracks and coordinates business trip requirements (i.e., passport, visas, immunizations, Proforma form, photos, etc.). Tracks and gathers related expenses, compiles expense reports and maintains appropriate documentation.
- Correspondence / Approvals : Monitors incoming email for pre-read and has full access in case required. Maintains effective communications with the leaders leadership team when requesting information on behalf of the leader. Uses discretion to assign action items and follows up for completion. Ability to write and speak in a concise and positive manner that creates a good image of the company and the leader. Provides support to Communications as appropriate (This includes communication to org, town halls, outlook meetings, etc). Makes appropriate, informed decisions regarding priorities and appropriate levels of urgency to situations and events that require quick response or turnaround.
- Office Support / Coordination : Strong ability to adopt and apply new technology to aid efficiency. Manages distribution lists as appropriate. Handles special projects as requested.
- Point of Contact : Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the VP, including those of a highly confidential, personal, or critical nature. Manage external relationships with key stakeholders by interacting in a pleasant, friendly and agreeable manner. Works well with high level executives and executive assistants. Contribute as a team player, collaborate, share best practices and simplify work.
Required Qualifications :
High School Diploma or equivalent.Minimum of 5 years administrative experience.Advanced proficiency with Microsoft Office applications, MS Teams, OneNote, CTREX, OneDrive, Excel, PowerPoint, SharePoint, Workplace and Workday.Relocation Options :
