Overview
The Executive Assistant will provide comprehensive administrative and operational support to the Head of Growth and team. This role requires exceptional organizational skills, sound judgment, and the ability to manage complex scheduling and communication across multiple stakeholders. The ideal candidate is proactive, detail-oriented, and thrives in a high-performance environment where priorities evolve quickly.
Key Responsibilities
- Provide high-level administrative support to senior executives, anticipating needs and ensuring seamless day-to-day operations.
- Coordinate internal and external meetings, including team sessions, offsites, and partner engagements.
- Manage calendars across time zones, ensuring accuracy and responsiveness to shifting priorities.
- Support and adjust travel logistics, itineraries, and schedules in real time.
- Prepare and review materials such as briefs, itineraries, and correspondence with accuracy and discretion.
- Organize and support company events, conferences, and visits from key stakeholders.
- Track and reconcile expenses; prepare monthly reports with precision and timeliness.
- Build and maintain strong working relationships across internal teams and with external partners, representing the executive office with professionalism and tact.
- Handle confidential information with discretion and integrity.
- Proactively identify and resolve issues, ensuring executives are prepared and informed at all times.
- Assist with general operational needs and team administrative support as required.
Qualifications
3+ years of administrative experience, with a proven track record supporting senior executives or leadership teams.Strong organizational and multitasking abilities; able to manage multiple priorities under tight deadlines.Experience planning and executing complex events or meetings preferred.Exceptional communication skills—both written and verbal—with the ability to interact confidently across all levels of an organization.Proven problem-solving skills and the ability to adapt quickly in a fast-moving environment.High level of professionalism, discretion, and attention to detail.Proficiency in productivity and scheduling tools (e.g., Google Workspace, virtual meeting platforms).Collaborative and team-oriented, with a proactive approach to improving processes and supporting collective success.
