A skilled and experienced Legal Assistant to support a Shareholder & Vice President of our respected law firm in Lakeland, Florida. The ideal candidate will be proactive, organized, and capable of thriving in a fast-paced legal environment. This is a key role that requires a detail-oriented individual with outstanding communication and time management skills.
Responsibilities include but not limited to :
Administrative Support
- Calendar management : Calendaring and organizing committee & board meetings, scheduling appointments, client meetings and tracking deadlines.
- File Management : Organizing and maintaining client files, ensuring accurate recording-keeping from initial file set up to preparation for off-site storage.
- Document preparation : Typing, modifying, proofreading, and finalizing contracts, deeds, correspondence, etc.
- Receive, screen, and transfer incoming calls. Relay messages and updates between clients and attorney.
- Receive, review and respond to email messages regularly throughout the day.
- Process outgoing mail and sort incoming mail.
- Prepare conflict checks and set up initial consultations.
- Manage initial file set up including conflict checks, organizing paperwork and documents, and creating the physical file.
- Track attorney and client matters for daily time and billing purposes.
- Proofread, revise, disburse and organize draft monthly billing statements for review. Make attorney edits.
- Follow up with attorney on tasks and appointments.
- Communicate with clients via phone, by email and occasionally in person.
- Complete daily summary sheet for attorney.
- Ability to maintain client confidentiality and adhere to professional ethics.
As needed
Complete miscellaneous tasks as they arise and work with other attorneys and paralegals.Administer reception and manage client expectations.Review annual reports filing list, search status of each entity and update list accordingly.File annual reports as needed.Notary services.E-recording documents in the public records.Sending original documents out via overnight courier.Qualifications
Proficiency in using complete Microsoft Suite and legal practice management software.Preference given to applicants with real estate experience specifically in a law firm environment.Ability to handle confidential information with discretion.Strong attention to detail and excellent organizational skills.Ability to prioritize tasks and meet deadlines.Excellent written and verbal communication skills.Notary Public license required.Benefits

Pay Range / Salary : Approximately $40,000.00- $50,000.00 / annually, commensurate with experience.
Work Environment : Full-time, 40 hours, Monday-Friday, 8 : 00am–5 : 00pm, on-site in office setting.
