Key Responsibilities :
- General Administrative Support :
- Manage schedules, calendars, and appointments for team members and executives.
- Organize and maintain office systems, ensuring that the workspace is clean, efficient, and well-stocked with necessary materials.
- Document Management :
- Prepare and manage internal and external documents, reports, and correspondence.
- Maintain and file confidential and sensitive information according to industry standards and company policies.
- Assist with creating presentations and reports related to projects and aerospace operations.
- Communication and Coordination :
- Handle incoming calls, emails, and correspondence related to administrative matters.
- Project Support :
- Assist program managers and engineers in tracking project timelines, deliverables, and resource allocation.
- Help manage and monitor inventory, supplies, and equipment related to aerospace projects.
- Support logistics and procurement tasks as needed.
- Data Entry & Reporting :
- Enter and maintain accurate data related to operations, contracts, inventory, and schedules into company systems.
- Assist in generating reports and spreadsheets for various departments, ensuring data is up to date and correct.
Qualifications : - Education :
- High school diploma or equivalent required; associate’s or bachelor’s degree in business administration, aerospace engineering, or a related field preferred.
- Experience :
- 2+ years of experience in an administrative assistant role, preferably in the aerospace or manufacturing industry.
- Experience working with project management software and Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Skills & Abilities :
- Excellent organizational, multitasking, and time-management skills.
- Strong written and verbal communication skills.
- Detail-oriented with a proactive approach to problem-solving.
- Ability to work independently and collaborate effectively in a team.
- Experience handling confidential and sensitive information with discretion.
- Technical Skills :
- Familiarity with industry-specific tools and software is a plus (e.g., ERP software, Customer portals).
- Basic understanding of aerospace terminology and manufacturing processes is beneficial, not required.
