Job Title : Digital Specialist I

Reports To : Digital Manager or Digital Supervisor

Summary : As a Digital Specialist, you will play a key role in preparing, scanning, and indexing records for our clients. This position involves detailed, hands-on work with both standard and oversized documents. Daily tasks include :

• Mailroom & Document Preparation
• Receive, open, and sort incoming document batches.
• Remove staples, clips, bindings, and prepare paper for scanning.
• Organize documents for efficient workflow.
• Document Scanning
• Operate automatic feeder and flatbed scanners to capture images of documents in various sizes and formats.
• Perform wide-format scanning for oversized materials.
• Adjust scanner settings to meet client-specific requirements.
• Conduct routine cleaning and maintenance of scanners to ensure image quality.
• Data Entry & Indexing
• Accurately log document / box numbers for tracking and retrieval.
• Enter metadata and other required information to support indexing and client access.
• Collaboration & Support
• Assist team members with preparation, scanning, and data entry tasks.
• Adapt to changing client requirements and updated instructions.
• Complete other duties as assigned by the Supervisor or Director of Operations.

Work Environment : Must be able to tolerate heat in the summer and cold in the winter.

Physical Demands : While performing the duties of this job, the employee is regularly required to stand and walk. The employee is occasionally required to sit, climb / balance, stoop, kneel, or crouch. Must be able to reach, handle, carry, and lift between 10 lbs. and up to 50 lbs. While performing job duties, the employee is regularly required to talk, hear, read, and identify numbers for accurate order filling and receiving of material.
