Purpose and Impact :
The Recuring Assistant supports the company's recruiting efforts by conducting the administrative tasks for the recruiting function, supporting the HR Talent Management team. This includes posting and maintenance of job requisitions, screening resumes and scheduling interviews. This is a highly administrative role with the sole focus of maintaining the company job boards with additional responsibility for assisting with basic recruiting tasks and ensuring smooth execution of the recruitment lifecycle by supporting the function. The recruiting assistant is required to be highly organized, detail-oriented, and an exceptional communicator who can manage multiple tasks in a fast-paced environment.
Essential Functions :
- Post and maintain job requisitions across internal and external job boards with precision and consistency.
- Review resumes, disposition candidates, and conduct initial phone screenings to assess qualifications.
- Coordinate and schedule interviews, ensuring a smooth experience for candidates and hiring managers.
- Assist in planning and executing recruiting events, including career fairs.
- Provide technical training and ongoing support to hiring managers and stakeholders on the recruitment system, including candidate dispositioning and offer letter creation.
- Advise stakeholders on job posting best practices in alignment with company policies and procedures.
- Support various stages of the employee lifecycle, from onboarding to offboarding, by responding to inquiries from new hires, hiring managers, and the Talent Acquisition team.
- Collaborate with Central HR during program launches, closures, and HRIS system updates.

Physical Requirements :
Must be able to lift at least 20 lbs with movement within an office environment, including bending, lifting material (e.g. recruitment materials, office supplies, files). Reasonable accommodation may be made for otherwise qualified persons with disabilities
Education :
Associate degree required; Bachelor's degree preferred.
Experience :
1-3 years of experience in HR administration, with a focus on recruitment systems, job board management, and candidate screening.Bilingual proficiency (English / Spanish or other locally relevant languages) is preferred.Skills :
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, OneDrive).Experience with HRIS platforms; UltiPro / UKG preferred.Strong organizational skills and attention to detail.Ability to manage multiple priorities and meet deadlines.Excellent communication and interpersonal skills, including ability to communicate clearly in person, over the phone and via video conferencing.Ability to handle confidential information with discretion.Comfortable using virtual collaboration tools (Teams, Zoom, etc.).Quick problem-solving skills for urgent recruitment needs (e.g., last-minute interview changes or job posting requests).Other :
Must demonstrate sensitivity to our service population's cultural and socioeconomic characteristics and needs.Successful completion of a Level II background screening, local criminal record check and drug screening prior to hiring.Must be able to travel via car throughout the state approximately 25%-35% of the time to job fairs, LSF programs and assigned office location.This is a Tampa-based role with remote work privileges offered. Remote work must be conducted in a dedicated home office during standard business hours (8 AM - 5 PM). In-office presence may be required.
