Key Responsibilities :
Greet visitors and clients warmly, creating a positive and professional first impression.
Schedule, confirm, and manage appointments with attention to detail.
Keep the reception area tidy, organized, and welcoming.
Perform general administrative tasks such as filing, data entry, and preparing documents.
Coordinate calendars and assist with scheduling for financial advisors.
Handle confidential and sensitive information with the utmost discretion.
Oversee office supplies, monitor inventory, and ensure timely restocking.
Manage incoming and outgoing mail, including retrieval and drop-off as needed.
Organize and manage client events, including sending cards and gifts for special occasions.
Provide support to advisors with client-related tasks and assist with generating reports as needed.
Requirements :
Minimum of 3 years of experience in a receptionist or administrative support role.
Excellent communication and interpersonal skills that ensure meaningful engagement with clients and coworkers.
Proficiency in Microsoft Office and scheduling software to streamline workflows and enhance productivity.
A detail-oriented mindset that reflects professionalism and strengthens the company's reputation.
Experience with multi-line phone systems and inbound call management.
