Job Title : Legal Administrative Assistant - Corporate
Location : NYC, NY 10022
Salary / Payrate : $85-105K and AWESOME benefits!!!
Work Environment : Hybrid (1 day WFH after 90 days)

Responsibilities
- Performs administrative duties for attorney(s) as assigned, following established policies and procedures; maintains confidentiality of client matters.
- Demonstrates advanced proficiency with Word, Outlook, iManage, Excel, PowerPoint, Adobe PDF, and other firm-specific programs; prepares and edits documents, proofreading as requested (e.g., engagement letters, memoranda, audit letters).
- Assists with routine corporate matters such as entity formations and preparation of organizational documents and agreements.
- Manages incoming mail and coordinates with delivery services; ensures timely delivery of outgoing mail.
- Establishes and maintains attorney calendars and deadline reminder systems; uses the firm's master calendar.
- Opens new files, requests conflict checks, maintains client and general files, and conducts periodic reviews for storage and file closure readiness.
- Greets clients and visitors, maintains professional client relations, and observes confidentiality of the attorney-client relationship.
- Coordinates meeting and conference room reservations using firm software.
- Assists with billing processes, including proofing and editing bills, processing bills for attorneys, and coordinating with accounting on month-end matters.
- Works with administrative staff to ensure timely submission of attorney timesheets and proofs documents returned from word processing.
- Collaborates with other administrative staff and provides coverage for colleagues as needed.
- Provides litigation support to the Litigation team when required.
- Prepares and submits attorney travel and business expense reports; handles vendor invoices and service payments as necessary.
- Performs essential duties with or without reasonable accommodation; accommodation requests will be considered where possible absent undue hardship.
Qualifications
5+ years of experience in a professional setting; law firm experience preferred, with knowledge of office policies and procedures and ability to produce accurate legal documents with minimal supervision.Advanced proficiency with Microsoft Office products.Strong motivation to support a busy Corporate practice group.Ability to transcribe legal documents, correspondence, and reports from draft or dictation at a minimum of 65 wpm.Strong organizational skills with ability to manage multiple priorities under deadlines.High attention to detail with ability to proofread documents for grammar, typographical, and spelling errors.Strong interpersonal skills to communicate effectively with clients, attorneys, and staff both verbally and in writing.Ability to work collaboratively in a fast-paced environment while maintaining professionalism and courtesy.Flexibility to work overtime or irregular hours as needed to meet deadlines.Working Conditions

Salary Range (New York Applicants)
$85,000 – $105,000 annually, commensurate with experience.
