Overview
The Assistant Director, Advancement Gift Administration bears primary responsibility for the efficient and accurate processing and recording of gifts for the Office of Institutional Advancement at Morehouse College. This role ensures timely recording of all gift types and pledges received through various channels in collaboration with the Director of Gift Administration, OIA colleagues, and relevant campus partners. It is a key role within the Donor Experience team and OIA, and a vital part of the stewardship and management of philanthropic gifts to the College. This position ensures that all donations follow IRS, CASE and Morehouse practices, rules and protocols.
Responsibilities
- Process and record gifts and pledges accurately and timely across channels, in collaboration with the Director of Gift Administration and OIA partners.
- Ensure compliance with IRS, CASE, and Morehouse practices, rules and protocols; maintain donor trust and data integrity.
- Lead reconciliation of transactions and deposits with the Office of Business and Finance and relevant campus departments; resolve discrepancies promptly.
- Provide professional support and knowledge for gift processing vehicles and methods (Give Campus, Givezy, Salesforce, Double the Donation); act as a subject matter expert on platforms used for gifts and pledges.
- Maintain accurate donor contact information and ensure proper donor intent through documentation and designations.
- Support receipts, acknowledgments, pledge reminders, and accurate pledge data in collaboration with the Donor Experience team.
- Coordinate secure storage of gift documentation and ensure proper filing and accessibility within OIA and with Business and Finance.
- Communicate professionally with donors and internal / external stakeholders regarding gift transactions, receipts, and philanthropic reporting.
- Identify issues proactively, think critically, and implement process improvements to support ongoing efficiency and accuracy.
Qualifications
Required Qualifications
Experience working in a higher education or non-profit philanthropic operation.Knowledge of Salesforce, Ascend, or other fundraising CRM systems.Preferred Qualifications
Proficiency with Excel, including basic formulas, VLOOKUP, and pivot tables.Understanding of IRS and CASE guidelines as they pertain to recording and receipting gifts.Three or more years of experience in gift administration or similar business process or accounting function.Preferred Education / Experience

Coordinate and execute day-to-day gift processing to ensure pledges and gifts are captured, entered, deposited, and designated accurately.Ensure that gifts recorded in Ascend have proper documentation aligned with donor intent (internal agreements, MOUs, pledge / gift agreements, estate documents).Store gift documentation securely within OIA and in shared locations with the Office of Business and Finance.Lead regular reconciliation of transactions and deposits with OBF and relevant campus departments.Resolve discrepancies in a timely manner; communicate with donors and stakeholders regarding gift transactions, receipts, and reporting.Provide support and professional knowledge for the various giving channels and platforms to donors (Give Campus, Givezy, Salesforce, Double the Donation).Ensure accuracy of donor contact information prior to mailings and outreach.Review incoming gifts to ensure donor intent is respected and designations are properly documented.Other Information
