Senior Proposal Coordinator

As a Senior Proposal Coordinator at Shimmick, you'll play a vital role in supporting pursuit and proposal activities across our markets in water, transportation, energy, and other critical infrastructure sectors. You will help organize, format, and produce proposal materials, ensuring compliance, quality, and alignment with company standards. Working closely with Proposal Managers, Pursuit Managers, and technical staff, you will also maintain critical pursuit and content resources, including our CRM database, project profiles, and resumes, while gaining hands-on experience with collaborative delivery pursuits and high-profile projects.
Responsibilities
Proposal Support and Coordination
- Assist with the development of proposals from RFQ through RFP, shortlist, and interview phases.
- Coordinate proposal calendars, deadlines, and logistics to keep the team on track.
- Prepare and maintain proposal outlines, compliance matrices, and content trackers.
- Support proposal kickoff, status, and review meetings.
- Ensure proposal sections are formatted, branded, and compliant with RFP requirements.
- Assist with the final production and delivery of digital and hard-copy proposals.
Content Development and Asset Management
Create, format and edit resumes, project descriptions, and boilerplate materials.Proofread proposal content for consistency, accuracy, and clarity.Support development of graphics, charts, and visuals in collaboration with the design team.Manage and update content assets (project profiles, resumes, staff bios, past performance, etc.).Ensure content libraries are accurate, current, and easy to access for pursuit teams.CRM and Information Management
Enter and maintain pursuit and client information in the company's CRM system.Track opportunity data, teaming information, contacts, and client intelligence.Generate reports and dashboards to support pursuit planning and pipeline visibility.Ensure data integrity by monitoring accuracy, completeness, and consistency of CRM records.Cross-Functional Coordination
Support internal and client-facing meetings, workshops, and interviews.Assist with scheduling and logistics for proposal reviews, rehearsals, and presentations.Process Support
Track lessons learned and update proposal resources as directed.Help implement best practices for writing, formatting, and compliance.Provide general administrative and organizational support for pursuit teams.Qualifications
Minimum Requirements :
Bachelor's degree in English, Communications, Marketing, Journalism, Business, or related field, OR equivalent experience.2 years of experience supporting proposals in the AEC or infrastructure industry.Proficiency in Microsoft Office; familiarity with Adobe InDesign, SharePoint, or CRM software (e.g., Cosential) preferred.Strong writing, editing, and proofreading skills.Detail-oriented with excellent organizational and time management skills.Collaborative team player with the ability to manage multiple deadlines.Preferred Qualifications :
Experience with heavy civil construction or alternative delivery proposals (Progressive Design-Build, CMAR, CMGC, Design-Build).Prior experience maintaining CRM databases and / or content libraries.Knowledge of RFP / RFQ compliance and public procurement processes.Experience formatting proposals in Adobe InDesign.Additional Information :
Requires occasional travel for proposal workshops, interviews, or team meetings.This position may be based in Irvine, CA; Suisun City, CA; Denver, CO; or a remote location within the United States.Flexible and hybrid work arrangements available based on team needs.Qualified applicants who are offered a position must pass a pre-employment substance abuse test.This position does not include sponsorship for a United States work authorization.The salary range for this position is between $85,000-$100,000 per year depending on experience and / or education.
