Job Summary :

This role is responsible for ensuring the accurate and timely processing of lease status inquiries, legal and transaction checklists, and related communications. This role supports multiple departments, including Finance Operations, Asset Management, Property Management, and Accounting, on matters related to tenant transactions.

Key Responsibilities

Accounting :

  • Ensure timely and accurate processing of transaction checklists across the entire real estate portfolio.

Maintain accurate tenant ledger records and notify relevant departments of any changes.

Review portfolio transaction reports and interpret settlement statements to ensure all financial items (e.g., payments, credits, refunds) are correctly reflected in Yardi.

Investigate ambiguous data by collaborating with Legal, Portfolio Data Management, Tax, and CAM departments.

Ensure all updates (e.g., renewals, terminations, releases) are accurately reflected in Yardi.

Set up rental details, including ACH payments, and communicate necessary information to Finance Operations.

When standard reports are not available, analyze email content, lease amendments, settlement statements, or related documents to identify the transaction type and necessary follow-up. Administrative :

Serve as the point of contact for all transaction-related inquiries.

Communicate professionally and proactively with Legal, Asset Management, Property Management, and Finance Operations regarding tenant-related transactions.

Complete legal checklists in a timely manner, verify rental amounts for property dispositions, and provide input for property releases.

Respond promptly to lease inquiries related to renewals, extensions, and sales.

Communicate directly with tenants to resolve transaction-related questions.

Manage tasks related to ACH setups, uncollected rent, sales tax on rent, and holdover rent increases.

Qualifications

Must-Haves :

1–2 years of experience in an accounting or similar role

Experience in high-volume processing or transaction handling

Strong attention to detail

Excellent customer service and communication skills (both verbal and written) Nice-to-Haves :

Familiarity with Yardi software

Background in a large public company environment

Determining compensation for this role (and others) at Vaco / Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco / Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company’s 401(k) retirement plan.
