We are looking for a dedicated and personable Office Coordinator to join our team in La Cañada Flintridge, California. In this role, you will be the first point of contact for clients and visitors, ensuring a welcoming and organized environment. This is a contract-to-permanent position offering an excellent opportunity to grow within a supportive healthcare setting.
Responsibilities :
- Greet clients and visitors warmly, creating a positive and welcoming first impression.
- Handle patient check-ins and check-outs, including processing payments and providing receipts.
- Accurately input and update patient demographic and insurance details in the system.
- Manage scheduling tasks such as confirming, canceling, and rescheduling appointments.
- Assist new clients through the intake process, ensuring they feel comfortable and supported.
- Maintain confidentiality and adhere to organizational policies and standards.
- Ensure the front office and waiting area remain clean, organized, and inviting.
- Respond to phone inquiries and direct calls to the appropriate team members.
- Support administrative tasks such as data entry and record-keeping.
- At least 1 year of experience in a medical, behavioral health, or therapy office setting is preferred.
- Strong interpersonal skills with a compassionate approach to client interactions.
- Excellent communication, organizational, and multitasking abilities.
- Proficiency in using computers and electronic health record (EHR) systems.
- Ability to maintain composure and professionalism in emotionally sensitive situations.
- High attention to detail and a strong sense of reliability in administrative duties.
- Familiarity with receptionist duties such as answering inbound calls and managing schedules.
