The Role
Are you a natural facilitator who enjoys connecting people, organizing processes, and supporting high-functioning teams? As a Committee Support Coordinator , you'll play a key role in supporting over 50 committees and the Board of Trustees at the heart of the club's governance structure. You'll ensure committee leaders are well-prepared, organized, and aligned with the club's strategic goals delivering seamless administrative support, strategic guidance, and clear communication. This role is ideal for someone who thrives in a fast-paced, detail-oriented environment and brings positivity and professionalism to every interaction.
This is a full-time, fully on-site role at our club in Portland, OR.
What You'll Do
- Support Committee Operations : Serve as a central link between committees, the Board, and staff to ensure they have the tools and information needed to succeed.
- Facilitate Access & Resources : Strategically connect committees to internal resources across the organization.
- Manage Governance & Strategy Compliance : Guide staff and members through Bylaws, rules, and policies, ensuring proper application and understanding, ensure committees stay in step with the club's strategic priorities and current business needs.
- Use Data to Inform
Support decision-making by leveraging analytics and insights from across the club.
Create and Manage Records : Accurately take, transcribe, and distribute meeting minutes in a timely manner, maintain accurate and accessible governance records and coordinate with Communications to share policy updates, and organize committee files and ensure up-to-date documentation in the club's digital file-sharing system.Schedule & Organize : Coordinate meeting logistics by assessing availability of committee members, staff, and spaces, create agendas, compile supporting documents, and attend meetings (some held early mornings or evenings).Contribute to Special Projects : Take on projects such as policy revisions, process improvements, and training initiatives.Lead Onboarding : Train and onboard new committee Chairs, members, and staff in governance protocols and systems.Other duties as assigned.What You'll Bring
Experience & Education : Bachelor's degree (business focus preferred) or equivalent experience, with at least 1 year in administration, coordination, or governance support, previous event or meeting planning experience a plus; project management skills desirable.Strong Organizational SkillsSkilled at prioritizing tasks, managing deadlines, and navigating a dynamic schedule with minimal supervision.
Exceptional Communication Skills : Excellent verbal, written, and presentation skills; confident facilitating meetings and crafting professional correspondence, proactive mindset with the ability to resolve issues, navigate conflict, and think critically under pressure.Attention to Detail : Accurate, thorough, and responsive—with a sharp eye for detail and follow-through.Governance Know-How : Familiarity with interpreting and upholding Bylaws, policies, and procedures; comfortable proposing changes to improve efficiency.Customer Service Expertise : Professional, personable, and responsive to members and colleagues, with proven customer service experience, maintains high standards of confidentiality and handles sensitive information with care.Technical Proficiency : Advanced knowledge of Microsoft Word, Excel, Outlook, and PowerPoint; comfortable with digital records management.Schedule Flexibility : Willingness to work evenings, weekends, and holidays as needed in a hybrid (office / home) work environment.What You'll Gain
