Job Summary
The Assistant Project Coordinator of Strategic Projects provides project coordination skills for managing contractor projects. Aims to learn project management skills for managing projects. Coordinates the flow of material from the planning phase to the completion of each assigned project. Coordinates the schedule of jobs being handled, maintains accurate database on current projects, and assures required specifications are met for all jobs in progress. Actively participates in coordinating, analyzing, and acting upon information and feedback of customer needs, pricing, products, competition, and procedures. Obtains orders and provides order entry, expediting, pricing, follow-up, and other value-added services, as required.
Responsibilities
Essential Functions
- An apprentice-based position focused on training for managing projects from inception to closure.
- Support Project Managers with complex projects by assisting with project reports, tracking, submittals, billing issues, returns, PODs / packing slips, delivery issues, project-related communication, and order entry / order revisions.
- Coordinates with project team members and stakeholders to ensure timely completion of tasks.
- Projects may deal with substations, power transmission, wind and solar energy, data Telco, HV industrial, commercial or residential construction and industrial.
- Assists in coordinating the flow of material from the project award phase to the completion of each assigned project.
- Skilled in time management - Prioritizing tasks effectively to meet deadlines without sacrificing quality.
- Ensures quality customer support, through order entry expediting, pricing, billing, submittals, follow-up, returns, weekly project reporting, and other value-added services, as required.
- Provides customers with timely follow-up on inquiries and requests as required.
- Coordinates the schedule of jobs being handled, maintains accurate database on current projects, and assures
- Maintains a high level of teamwork and communication in ensuring a balanced workload within the team.
- Completes project group job account form with customer information for each project handled.
- Consistently provides responsive, quality service to our customers.
- Actively participates in coordinating, analyzing, and acting upon information and feedback on customer needs, pricing, products, competition, and procedures.
- Provides assistance in purchasing functions, product evaluations, inventory management, pricing development, and other related services.
- Responsible for supporting completion of each assigned project.
- Coordinates with the Customer Financial Services staff to resolve customer-billing problems resulting from errors in the quotations process, pricing, shipping, delivery or other customer service / credit areas.
Non-essential Functions
Responsibilities may include supporting all or some of the following : product application and support, estimating, procurement, material management, staging, kitting, storage, job site delivery, back hauling and project close out.May develop quotations for customers within the company profit objectives and guidelines.May assist with negotiating with vendors for best pricing and best delivery of products to customers and / or jobsitesProvides customers with timely follow-up on requests.Attends training programs, as required.Qualifications
Minimum of a business or trade degree preferred or the equivalent in work experience.Minimum of two years of prior customer service, quotation or sales experience with strong knowledge of electrical products and utility systems preferred.Comprehensive knowledge of product lines and applications, alternate product substitutes, and supplier pricing policies preferred.Strong working knowledge of PC for Windows, Microsoft Office (Excel, Word and PowerPoint), Internet, Email and SAP software preferred.Skills and Abilities
Technical ability to understand electrical systems and product applications with prior electrical distribution experience preferred.Technical ability to read specifications and drawings highly preferred.Excellent interpersonal, written and verbal communication, reading, and customer service skills are preferred with the ability to effectively plan and organize and work well on a team.Ability to effectively plan and organize and work well on a team.Excellent customer service skills include being competent, accurate, responsive and engaged.Physical Requirements
