Executive Assistant
The Executive Assistant supports the Chief Financial Officer, Chief Legal Officer, and Chief Technology Officer, understanding each person individually, anticipating their needs, and proactively providing assistance that will enable their ability to successfully execute the strategy of the business. This position will be a valuable member of the team in a highly visible role within the organization and will build relationships through trust, transparency, and respect. The Executive Assistant will be responsible for performing a variety of administrative tasks that impact the efficiency of the day including, but not limited to, managing complex calendars for multiple executives, coordinating schedules, meetings, and events, arranging domestic and international travel, expense management, and general administrative support.
Primary Responsibilities
- Meticulously and accurately manage complex calendars for multiple C-suite executives, keeping a proactive view of conflicts and a clear line of sight to the day-to-day schedule
- Coordinate meetings across multiple departments and time zones; planning both in-person and virtual formats
- Arrange and coordinate domestic and international travel and all aspects of trips / events
- Anticipate needs and resolve operational and administrative issues before they arise
- Manage, track, and submit monthly expense reports for multiple executives
- Participate in the planning and coordination of employee events as a member of the culture Council or individually as requested by the CFO, CLO, or CTO
- Assist in planning external meetings; managing logistics, communication, A / V, vendor contracts, and catering
- Prepare presentations as needed and collaborate on projects
- Arrange catering for meetings as required
- Work in tandem with the Facilities Manager to provide an exceptional office environment and experience for employees and guests
Required Knowledge / Skills / Abilities
Minimum 5 years professional administrative experience, Bachelor's degree preferredSuperb organization skills with fierce attention to detailCalendar Management expertise for the CFO, CLO, and CTOBroad knowledge of all aspects of travel, both domestic and internationalEvent planning experience with a creative flare for memorable experiencesExceptional verbal and written communication skills and use of judgment to articulate the importance of an issueProficiency with Office 365 Outlook, Word, Power Point, Excel, Zoom / TEAMSPoise, professional presence, and high degree of integrityCapable of working with discretion and tact when exposed to confidential informationSelf-Starter, proactive, resourceful, and a sense of urgencyStrong intuition and ability to develop and maintain high trustComfortable working with limited instruction and guidanceAbility to operate effectively and efficiently, deal with ambiguity, and prioritize tasks in response to unexpected changes in priorities / requestsDesire to help with a "can do" attitude no matter how large or small the taskStrong interpersonal skills and approachable personalityAptitude to manage small projectsAbility and resourcefulness to solve problems in the momentFlexibility to work evenings and after hours as neededWhat We Offer
