The DanceOne team is seeking a detail-oriented and motivated Event Planner who exercises discretion and independent judgment in coordinating and executing large-scale events with more than 500+ participants.This role combines vendor negotiation, client interaction, logistical oversite, and decision-making.The ideal candidate thrives in a fast-paced environment and demonstrates leadership, operational expertise, professionalism, and adaptability to deliver flawless events to our clients.In This Role, You Will :
As an Event Planner you will collaborate with internal teams and external vendors to ensure events run smoothly.Your responsibilities will include but are not limited to :
Serve as the primary liaison with hotel partners and vendors for multi-city events with 500- 1000+ attendees with an average budget of $500K+, and making determinations on room blocks, rates, rebates, and concessions within approved budgetsExercise discretion and independent judgment in negotiating vendor agreements, prioritizing competing event needs, and resolving conflicts.Support budgeting and auditing by reviewing contracts, processing invoices, tracking payments, accountability for accuracy and timeliness.Support Senior Event Planners by overseeing specific aspects of multi-day events, including vendor coordination, scheduling, and onsite issue resolution.Assist with venue research, including contract reviews and logistical planning.Track hotel block pickup reports weekly and assist in securing overflow hotel rooms as needed.Oversee hotel reservations and communications on EventPipe, making the majority of related decisions for the events.Review and summarize post-show notes to improve future events and share with VP.Compile vendors contact lists, ensuring they are accurate and up to date, with highlights on suitability for specific cities.Maintain and organize Google Drive files for the current and upcoming seasons, ensuring compliance with internal protocols.Collect and reconcile missing rebates and hotel points, resolving discrepancies directly with hotels and agencies.Prepare for new event seasons by creating booking links, testing room blocks, and developing checklists.Provide guidance and direction to seasonal staff and contractors during event execution.What You Need :
Bachelor's degree in Event Management, Marketing, or a related field (preferred but not required).Minimum of 2-3 years of experience in event planning, staff coordination, or related roles.Prior experience in entertainment, music, live theatre, or live production industry is highly preferred.Knowledge of the dance convention business is a huge plus!Professionalism in communication, including speaking, writing, and appearance, with the ability to maintain confidentiality.Experience working with children or in child-focused environments is strongly preferred.Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment.Availability to travel and work weekends is required.Typical Work Schedule and Travel :
