About this opportunity :
Performs a variety of clerical and secretarial work necessary for the smooth operation of the Corps.
Responsibilities include :
- Performs typing, scanning, and filing as a majority of the responsibilities.
- Processes a variety of routine paperwork necessary for office operations.
- Maintains a filing system of human resources documents.
- Processes HR paperwork between the Corps and Divisional Headquarters; submits background check requests and E-Verify entries.
- Prepares and tracks health insurance enrollment / termination information; maintains files and records for personnel and insurance information and finance paperwork.
- Answers the telephone and provides general information regarding the office operations; assists with Corps program preparation and setup; oversees Corps Christmas Kettle program.
- Receives income as they come in; makes copies of checks, writes, and sends thank you letters, issues subsidiary receipts, creates deposits, ensures deposit is taken to the bank, and forwards copies of deposit information to DHQ finance according to policy.
- Receives from supervisor all invoices / bills after they have been approved for payment and appropriate billing department specified; submits approved invoices, bills and other items for processing to DHQ Finance according to the published transmittal guidelines.
- Checks PO box daily, as instructed by the Corps Officer.
- Maintains inventory for safes.
- Assists with audit preparations (i.e. mail handling, receipts issued, safe review, accounting process, and internal controls) of the local unit.
- Prepares and maintains personnel files; files documents alphabetically, numerically or by any other established filing system; maintains and utilizes a bring-up filing system; ensures the files are maintained in an organized and efficient manner.
- Assists in delivering open enrollment documentation to employees.
- Maintains the confidentiality of all personnel and payroll records, and the confidentiality of personnel-related correspondence, conversations, or issues.
- Prepares and maintains office records, reports, calendars, databases, journals, books, logs, lists, etc. in an accurate, complete, and timely manner; updates, posts and indexes information and inputs data into the computer to maintain office records; researches office files to locate specific information found in documents, correspondence, lists, forms, etc. in order to prepare specific reports.
- Prepares and proofs various routine reports; compiles and records information and statistics necessary to generate routine reports; proofs reports for errors and to ensure they are grammatically correct.
- Answers telephone in a courteous and tactful manner; greets and assists employees and people from outside The Salvation Army; provides accurate and complete information regarding the Army's operations and / or services; attempts to resolve complaints in a calm, courteous, and tactful manner.
- Receives, sorts, collates and distributes mail in an accurate and timely manner; ensures that all mail received is forwarded to the appropriate person and / or destination; collects and prepares outgoing mail.
- Performs routine filing of a variety of correspondence, forms, cards, records, reports, and documents; maintains and utilizes the bring-up filing system; ensures the files are maintained in an organized and efficient manner.
- Photocopies and / or shreds a variety of items including correspondence, forms, reports, and documents.
- Distributes information regarding Salvation Army services, programs, conferences, seminars, etc. in an accurate and timely manner; compiles mailing lists and ensures the accuracy and completeness of the same.
- Compiles information for booklets, kits, notebooks, etc. for conferences, seminars, meetings.
- Performs various clerical and secretarial support work associated with special projects, seasonal events, and conference and committee meetings.
- Assists the Corps Officer in preparing for and setting up for Corps programs as requested / required.
- Assists in planning the Christmas Kettle Program; assists with hiring and placement of kettle workers and volunteers; evaluates and makes changes to staff / placements as necessary to ensure optimal results; assists in ensuring the overall successful operation of the Corps Kettle program.
What we are looking for in you :
High school diploma or G.E.D. required with additional secretarial courses preferred,
and
two years experience performing clerical work in an office environment,
or
any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
Physical Requirements and Working Conditions :
Ability to meet attendance requirements. Ability to effectively read, write, and communicate the English language. Ability to perform routine mathematical computations. Ability to accurately type and input information into computer databases. Ability to keypunch information into a computer. Ability to sort and file documents alphabetically and numerically. Ability to operate various general office equipment including a telephone, typewriter, computer, and adding machine. Ability to concentrate and pay close attention to detail with constant breaks in concentration associated with answering phones or speaking in person to clients requiring assistance. Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking. Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.) 5-10% of work time.
Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like. Work may require driving a vehicle where there may be discomforts associated with heavy traffic or changes in weather.
