Operations Associate

We are seeking a dynamic, problem-solving, people-centered individual to join our team. The Operations Associate is a full-time (40 hours / week) position that supports the ministry and maintenance of West End Church by assisting the Operations and Program Teams in ensuring that our programs are running smoothly. The Operations Associate’s duties include room set-up and breakdown, creating systems for routine operations and protocols (ie., event setup forms, IT usage, food & beverage coordination, etc.), facilitating meetings, managing the space calendar, working with the communications manager to make sure all calendars are synced, and light janitorial services / event setup and cleanup. The Operations Associate reports to the Operations Manager and works closely with the Program Team via The Director of Curriculum & Lifelong Learning.
Key Responsibilities & Functions
Program Operating Logistics
- Work with the Operations Manager and the Director of Curriculum & Lifelong Learning to create a protocol to log and review weekly event setup needs and communicate them to other members of the building team
- Establish “neutral” space layouts and make sure rooms are returned to neutral after use
- Maintain the internal program calendar that records space use for the church and its tenants, as well as tracking staff out-of-office status and building closures
- Count individuals served by each of our programs and maintains a daily log of how many people cross the thresholds of West End Church every week
- Review public-facing materials (web calendar, program descriptions) upon request to make sure that proposed programs align with building schedule and resources
Set-up / Break-down for Events
Facilitate room set-up and breakdownEnsure rooms have what is required by the event in them and checking with the event facilitator to make sure hospitality needs are continually metMaintain a device / cord “library” and being present for tech troubleshooting (screen mirroring, A / V inputs, Zoom logins) during event set-upPerform basic janitorial tasks (wipe up sticky messes, empty wastebins with food, help with trash removal) to deter pest and rodent activityGeneral Hospitality & Interfaces
Maintain courteous, cooperative, and supportive communications with staff, lay leaders, ministers, members, rental partners, and visitors to West End ChurchHave a “can-do” attitude : if there’s an issue preventing program participation or enjoyment, be willing to quickly find a solutionBe able to work in a multicultural environment with good interpersonal skills and an ability to multi-task and self-startStaff the front door and greet arrivals when neededRequirements :
High School diploma or equivalentFluency in written and spoken English; Spanish proficiency a plusBasic tech savviness and troubleshooting abilityAbility to lift up to 50lbs and have good physical health and mobilityAbility to work nights / weekends (schedule agreed upon in advance)Salary & Benefits
