Strategic Philanthropic Coordinator

This position is based in our Dallas office.
We are seeking a Strategic Philanthropic Coordinator to join our team. The Strategic Philanthropic Coordinator plays a key role in supporting the firm's non-profit clients by facilitating effective project management and coordinating communication among clients, and their internal stakeholders. The coordinator is responsible for streamlining processes, maintaining accurate records, and providing research and administrative support to attorneys and partners. Through initiative-taking collaboration and attention to detail, the Strategic Philanthropic Coordinator helps maximize the client's efforts while fostering positive relationships and efficient operations. This position offers a hybrid schedule, providing flexibility to work from home or the office. Currently, this role requires weekly in-office presence.
Key Responsibilities and Essential Job Functions :
- Prepare and file annual Charitable Solicitation Registrations in various states.
- Preparation of formation packages for new non-profit entities.
- Drafting of communications to IRS, state agencies and clients.
- Heavy client interaction particularly with the formation and state registration processes.
- Preparation of closing binders for formation and other transactions.
- Prepare and file state annual reports, periodic reports, or statements of information in various states.
- Prepare and file state commercial co-venture, professional fundraiser, and fundraising counsel filings in various states.
- Manage and organize incoming and outgoing correspondence, ensuring timely and accurate communication with clients and other stakeholders.
- Prepare, proofread, and finalize legal documents, agreements, and philanthropic proposals under attorney supervision.
- Maintain and update case files, records, and project documentation in a systematic and confidential manner.
- Assist with legal and philanthropic research, gathering relevant information and preparing summaries or reports as needed.
- Coordinate planning for meetings, events, and special projects, including scheduling, materials preparation, and follow-up actions.
- Support attorneys and staff on special projects by providing administrative assistance and tracking project milestones.
- Ensure compliance with client's policies and charitable regulations, maintaining accurate records and documentation.
- Special projects and duties as assigned.
Required Skills :
Ability to convey complex information clearly and professionally to diverse audiences, including clients.Skilled in managing multiple priorities, maintaining detailed records, and ensuring deadlines are met in a demanding environment.Demonstrates accuracy in preparing, proofreading, and finalizing documents, and maintains confidentiality with sensitive information.Capable of gathering, synthesizing, and summarizing legal and philanthropic information to support decision-making and reporting.Experienced in planning, scheduling, and executing logistics for meetings, events, and special projects.Works effectively with attorneys, staff, and external partners, providing administrative support and fostering a cooperative work environment.Able to adjust to changing priorities and manage special projects as assigned.Familiar with office productivity software and database management for documentation and record-keeping.Required Qualifications & Education :
Bachelor's degree in Nonprofit Management, Business Administration, Public Administration, Philanthropy, or a related field.2-4 years of experience in a professional administrative, legal, or philanthropic setting,Proven ability to convey complex information clearly and professionally to diverse audiences, including clients.Strong organizational skills, with experience managing multiple priorities, maintaining detailed records, and ensuring deadlines are met in a challenging environment.Demonstrated accuracy in preparing, proofreading, and finalizing documents, and a commitment to maintaining confidentiality with sensitive information.Experience gathering, synthesizing, and summarizing legal and philanthropic information to support decision-making and reporting.Proficiency in planning, scheduling, and executing coordination for meetings, events, and special projects.Ability to collaborate with attorneys, staff, and external partners, provide administrative support and foster a cooperative work environment.Adaptability to change priorities and the capacity to manage special projects as assigned.Familiarity with office productivity software and database management systems for documentation and record-keeping.Physical Requirements :
