WHAT YOU WILL DO
As the Office Management Coordinator, you will be responsible for day-to-day office management and crafting exceptional, onsite experiences for team members and guests to the Primrose National Support Center. You will identify, anticipate and show genuine interest in meeting the needs of others. You will focus on creating delightful experiences, exceeding the expectation of others. This is a full-time, in-office role.
- Handle team member and guest interactions, accommodate special requests whenever possible and resolve issues related to the Primrose National Support Center experience
- Serve as a brand ambassador for on-site guests by providing a warm welcome and ensuring a clean, safe place with excellent accommodation to ensure a memorable experience
- Answer and transfer incoming calls to appropriate team members as efficiently as possible while demonstrating an exceptional service mindset
- Serve as the owner of the Emergency Preparedness Plans, including selecting, communicating and facilitating training for Emergency Floor Wardens
- Maintain office efficiency by planning and implementing office systems, layouts and equipment procurement, such as updating seat maps and supply order request process
- Manage office services by ensuring office operations and procedures are organized and executed effectively and efficiently, including ensuring office supplies, caf supplies and mailing supplies are ordered and always stocked
- Serve as the point person for mailing / shipping services, supplies and equipment, including checking and sorting inbound mail and managing the Pitney Bowes postage machine
- Own the relationships with and serve as the point-of-contact for vendors, service providers, and Wildwood Towers Building Management team
- Provide event support and management for on-site events, such as lunches, conferences, and meetings
- Plan and execute team member engagement activities
- Oversee internal office maintenance and PSFC team member feedback / suggestions related to office logistics and aesthetics
- Provide support and assistance to Talent & Performance team, serving as a resource and participating in special projects as needed
WHO WE ARE LOOKING FOR
- 3-5 years office management, hospitality, administrative or executive assistant experience
- Ability to manage time and competing priorities while delivering service excellence
- Proven collaborator with the ability to rally multiple resources to accomplish goals
- Proven ability to establish and maintain effective relationships with others
- Problem-solver who uses time effectively and efficiently
- Organizational and planning skills
- Verbal and written communication skills
- Proficiency in Microsoft Office Suite
