We are looking for a highly organized and detail-oriented Document Management Coordinator to join the Lease Administration team at our corporate headquarters in West Palm Beach, FL. In this role, you will be responsible for managing and maintaining lease and property files, supporting lease administration, and ensuring the smooth execution and distribution of documents.
About The Role
We are looking for a highly organized and detail-oriented Document Management Coordinator to join the Lease Administration team at our corporate headquarters in West Palm Beach, FL. In this role, you will be responsible for managing and maintaining lease and property files, supporting lease administration, and ensuring the smooth execution and distribution of documents.
Key Responsibilities
- Lease and Property Files : prepare, manage and maintain both hard and network files for lease documents and property information. This includes converting new lease files for property acquisitions, distributing files for disposition properties, and managing lease files for move-out tenants.
- Lease Administration Support : support the Lease Administration, Acquisitions and Leasing teams with various tasks related to lease documentation and property information. Collaborate with other departments for lease documentation requests.
- Document Execution (Docusign) : prepare audited lease documents in Docusign for approvals and Landlord signatures, monitor the approval and signing process and coordinate with legal for in-person signings. Prepare Property Management approvals as needed.
- Documents Distribution : after a document is fully executed, complete checklist items, distribute the document to internal departments, update Smartsheet schedules, add execution dates in REMaap and send the fully executed document to the Tenant along with a welcome letter for new leases.
Skills And Qualifications
Exceptional organizational skills and attention to detail.Ability to work well under pressure and manage competing priorities.Strong communication skills.Proficiency with computer programs including Microsoft Outlook, Microsoft Teams and Docusign.Sterling Organization is an equal-opportunity employer.
