Definition

Under the direction of the Administrator, the Coordinator will help plan, organize and coordinate various outreach events and activities to increase public awareness of Ohlone College programs, contributing to college efforts to increase college enrollment across the college. This position requires significant flexibility in work schedule on evenings and weekends. This is a grant / categorically funded position. Continuation of this position is contingent upon available funding on a year-to-year basis.

This is a temporary position, limited to a maximum of 165 working days within a fiscal year.

Duties and Responsibilities

  • Plan, organize, and set up various outreach events and activities to increase public awareness as it relates to general information about Ohlone College;
  • Present information about Ohlone College using marketing material and various presentations to various target audiences with the goal of increasing student enrollment;
  • Work with various stakeholders and appropriate faculty members to plan and execute outreach activities with the goal of increasing student enrollment;
  • Present information about Ohlone College's application, onboarding process, interest areas, and student services to prospective students;
  • Prepare and maintain a variety of narrative and statistical reports, records and files related to personnel and assigned activities;
  • Communicate with other administrators, personnel and outside organizations to coordinate activities and programs all while finding new outreach opportunities;
  • Send out mass student emails, internal and external communities;
  • Consult with marketing department on marketing materials need for outreach activities, and provide input on content for materials based on needs in community;
  • Maintain a flexible work schedule to include weekends and evenings for key events;
  • Schedule and conduct one on one meetings with prospective students and their parents;
  • Establish and maintain relationships with key constituents, including weekly check-ups;
  • Demonstrate sensitivity to and respect for the diverse academic, socioeconomic,cultural, disability and ethnic backgrounds of the Colleges' students, faculty, staff andcommunity;
  • Effectively engage and support historically disproportionately impacted groups by addressing issues of equity and improving culturally responsive service-oriented practices.
  • Eligible to access all facilities within city and county agencies, including those that serve incarcerated or formerly incarcerated individuals (e.g., libraries, correctional facilities, etc.);
  • Represent the College at community events;
  • Perform other related duties as assigned.

Knowledge, Skills, and Abilities

Knowledge :

  • College degree programs, certificates, non-credit and related programs;
  • Programs and processes related to disproportionately impacted, underrepresented and non-traditional students;
  • Effective recruitment and retention tools and strategies;
  • Marketing and outreach methods, practice and procedures for traditional and non-traditional prospective students;
  • Community College system and protocols, transfer degrees, curriculum and services;
  • Correct usage of oral and written communication skills;
  • Applicable laws, codes, regulations, policies and procedures;
  • General Office Software and Equipment.
  • Skills :

  • Operation of a computer and assigned office software including : Microsoft Word, Excel, PowerPoint, Adobe Acrobat, Zoom, etc.;
  • Ability to, create, organize, and execute outreach campaigns for the College;
  • Interpersonal skills using tact, patience, and courtesy;
  • Enter data accurately and in a timely manner;
  • Provide comprehensive narrative and statistical reports;
  • Plan and organize work;
  • Oral and written communication skills;
  • Handle multiple tasks simultaneously;
  • Research, gather, organize and analyze data.
  • Ability :

  • Operate modern office equipment including computer equipment and office software;
  • Execute outreach events in an effective and timely manner;
  • Assist departments, divisions and College entities with outreach development;
  • Communicate effectively in orally and in writing;
  • Work independently with little direction;
  • Meet schedules and timelines;
  • Analyze situations accurately and adopt an effective course of action;
  • Establish and maintain cooperative and effective working relationships with individuals at all levels;
  • Interpret, apply and explain rules, regulations, policies and procedures.
  • Minimum Qualifications

    Any combination equivalent to a Bachelor's degree with two years of experience working at an institution of higher education.

    AND Must have evidence of responsiveness to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, as these factors relate to the need for equity-minded practices.

    Desirable Qualifications

    Ability to communicate in Spanish, American Sign Language, or other languages represented within the district.
