Receptionist - Front Desk (English & Portuguese)

Position Summary
The Receptionist / Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.
Essential Duties And Responsibilities
- Guides incoming traffic of clients to their respective areas
- Manages calendars, schedules appointments, makes travel arrangements
- Acts with guidance from management when handling sensitive matters
- Works effectively with other staff and meeting participants to efficiently and effectively schedule meetings and assign conference rooms
- Coordinates conference call arrangements and prepare space
- Prepare Expatriate travel report and submit to HR department
- Prepare daily mail report and distribute mail
- Keep track of usage of, order and organize supplies as needed throughout the company
- Actively, enthusiastically supports the team to ensure that customer expectations and company goals are obtained
- Attend and / or complete all required training as assigned
- Communicate effectively with other departments.
- Ordering of supplies as needed (forms, brochures, etc.)
- Writes, reviews, translate documentation as needed.
Additional Duties And Responsibilities
Proper use of office equipment (i.e. : computers, telephones, television, etc.) requesting repairs and / or maintenance when neededFiling, copying, faxing or scanning of any departmental reports or materialsPerform other related duties as required to accomplish the objectives of the positionAttend occasional meetings, events, and / or trainings on weekends or holidays as per business needEducation And / Or Experience
Minimum two years of prior related experience required; supervisory experience preferred. High school diploma or general education degree (GED) required; college degree preferred.
