Associate Manager, Speaker Relations, Fortune Live Media

This role ensures speakers receive world-class support before, during, and after each event.
Key Responsibilities
Speaker Relations and Data Management
- Serve as the principal logistical liaison for invited speakers and their teams, delivering comprehensive event details, schedules, and real-time updates from initial confirmation through event close.
- Maintain robust, up-to-date speaker databases using CRM platforms (Salesforce and CVENT), monitoring progress, pulling reports, and offering demographic insights to stakeholders. The ideal candidate is data-driven, leveraging insights to inform speaker strategy and enhance stakeholder reporting.
- Oversee travel and accommodation arrangements, providing tailored itineraries, detailed instructions, and white-glove support for VIPs to ensure a seamless event experience.
- Address queries promptly, manage speaker wrangling and room proctoring, and coordinate with security and production teams to deliver a polished Fortune on-site experience for all speakers and guests.
- Collect, track, and archive all required speaker documentationincluding release forms and biographical materialsand ensure alignment of content with event themes and standards.
- Prepare credentials and access materials for speakers and their guests; compile and share internal contact lists for efficient on-site coordination.
Event & Project Management
Manage and update the speaker tab on event websites, verifying the accuracy of speaker profiles (names, titles, photos) and ensuring all materials are consistently presented in Fortune's signature editorial style.Monitor and track budget allocations related to speaker travel and accommodation, technology, and logistics.Qualifications
Bachelor's degree and 34 years of relevant experience in conferences, event management, public relations, or client service.Outstanding interpersonal skills and the ability to build positive, lasting stakeholder relationships.Superior organizational and project management abilities, including managing deadlines and budgets, scheduling, and juggling multiple priorities in dynamic settings.Demonstrated experience working with senior executives, high-profile talents, and sensitive protocols.Familiarity with AI systems and processes, and enthusiasm for applying them in day-to-day workflows, is a plus.Advanced proficiency with event management and CRM technology (CVENT, Salesforce), and advanced Excel skills (pivot tables, VLOOKUP, mail merge).Ability to swiftly learn event data management tools and platforms.Strong passion for live events, public relations, or marketing, and a genuine interest in business news and trends.Willingness and ability to travel domestically and internationally as required.Total Compensation Range : $75,000-$80,000 (exempt). Commensurate with experience. This range is a good faith estimate and may ultimately vary based on a number of relevant factors.
