The Department Coordinator, Office of Equal Opportunity (OEO) will support the OEO team as they manage the College's compliance with issues of discrimination, harassment, and sexual violence under Title VI, Title VII, Title IX, 151B, ADA, and Rehabilitation Act Section 504. Reporting to the Associate Vice-President of Equity, Access, & Equal Opportunity (AVP), the Department Coordinator Office of Equal Opportunity will help support community members reporting possible violations of College policies, including the Policy Against Discrimination, Harassment, & Sexual Violence. The Coordinator is often the first person someone encounters when engaging with OEO and represents the face of the office at on-campus events. The Coordinator's responsibilities include supporting those seeking help from OEO, managing incoming data for the office, engaging in follow-up communication, including the preparation / processing of correspondence, reports, and presentations. The Department Coordinator should be prepared for and adept at engaging with individuals who might be in crisis or who have experienced trauma. The Coordinator will also help develop department materials and provide data analysis on matters reported to OEO.
ESSENTIAL JOB DUTIES
Data / Case Management
- Track and maintain detailed data of all reports to OEO of discrimination, harassment, and / or sexual violence in the OEO case management system. Coordinate with community partners to share or maintain data in other campus systems, as needed.
- Provide internal data analysis and audits of case information.
- Analyze OEO data for annual internal reports, as well as required federal and state reporting.
- Maintain data related to participant attendance at required OEO training and events. Analyze training data for reporting on compliance.
- Support Investigators with case information, report writing, and creation of exhibits, and manage other case materials.
Communication / Intake
Act as an initial contact point for outreach to OEO.Coordinate and oversee communications for the OEO team, as needed, to respond to reports of alleged violations of College policy, schedule intake meetings, provide resources, and share updates / information about next steps.Assist with the implementation of supportive measures for impacted parties, responsible parties, and witnesses, as needed.Office Management
Assist in the development and maintenance of the OEO website, as well as departmental brochures, marketing materials, and documentation related to resolution processes.Assist in scheduling and management of OEO training, programming, and other departmental events.Support the OEO team with maintaining department calendars, mailboxes, case management systems, and overall document management.Support the AVP and other office staff with department budget and finance needs.Collaborate with various campus constituencies and offices.QUALIFICATIONS Qualifications are deemed required or preferred and represent what is needed to perform the job effectively :
A bachelor's degree is required3-5 years of experience in a related fieldExperience and comfort in collecting, tracking, maintaining, and analyzing dataExperience with Maxient and / or Ethicspoint is a plusExperience with graphic design is a plusExperience working as a paralegal is a plusKNOWLEDGE, SKILLS, AND ABILITIES May be representative, but not all-inclusive, of the knowledge, skills, and abilities commonly associated with the job :
Demonstrated ability to be neutral and maintain professionalism for individuals involved in sensitive situations. Ability to work with individuals who may be in distress and heightened emotional states with empathy and understanding.Working knowledge of local, state, and federal laws guiding the department's work, including Title VII, Title IX, and ADA, with demonstrated willingness to learn.Proficient in website maintenance and developmentSuperior data analysis and advanced Excel skills to create comprehensive assessments and department reports of trends and case data; Experience creating detailed reports based on data analysis. Experience working with the Google suite is a plus.Ability to take initiative, work independently and collaboratively, and to handle multiple projects simultaneously while remaining attentive to detail; Ability to adjust quickly to changing needs and priorities on a daily basis.Excellent written and oral communication skills.
