Overview

Personal Assistant role at The Help Company. The client is a very busy couple that travels and hosts events. This role requires a 24 / 7 mentality, a thick skin, and a high level of discretion and efficiency. Prior experience managing a High Net Worth individual's life and at least 5+ years as an executive personal assistant is required. Must be living in Los Angeles.

Responsibilities

  • Compiling calendars for invites (several daily) and coordinating with the principal on events to attend, including rolling email management.
  • Scheduling travel, ground transportation, charter options, working with travel agents and external vendors (often last-minute).
  • Managing correspondence from friends and family; inbox management; response drafting as needed.
  • Overseeing Mac syncing, playlists, and media across multiple devices.
  • Purchasing, wrapping, and sending gifts.
  • Maintaining and updating contacts, notes, and party / birthday lists; managing multiple calendars and lists.
  • Running a CRM for complex restaurant, party, and gift lists across territories worldwide (details to be discussed).
  • Assisting with event planning, liaising with party planners, and coordinating intimate dinners to large events up to 350 guests.
  • Evaluating working relationships with vendors (jet companies, party planners, etc.) to ensure efficiency.
  • Pet care support including travel, walking, veterinary appointments as needed.
  • Managing calendars for beauty, medical, business, and social appointments.
  • Occasional travel to places such as Vail and London.
  • Liaising with the House Manager to ensure homes and staff run smoothly.
  • Managing company branding, online presence, and social media.
  • Personal shopping with housekeepers for clothing and products.
  • Managing rental homes calendars and guest schedules.
  • Liaising with yacht crew, drivers in the UK, etc.
  • Buying, selling, and inventorying Fine Wine and Fine Art, including using collector systems and auctions.

The client offers a base salary of $150,000 plus overtime, PPO health insurance, and PTO. A tight-knit team is in place and the new assistant should be energetic, collaborative, and ready to get the job done.

Requirements

  • Minimum 5+ years as an executive personal assistant; prior experience managing a High Net Worth individual's life.
  • Strong education, polished communication, discretion, and efficiency.
  • Ability to work a 24 / 7 mindset and handle sensitive situations with professionalism.
  • Experience with event planning, travel coordination, and high-level scheduling.
