Emergency Management Office Administrator
Reporting directly to the Director of Emergency Management, responsible for performing a wide range of advanced office administration duties for the Emergency Management Department.
Examples of work performed include :
- Providing customer service to customers and staff via telephone, email, or in person
- Assisting in annual budget process by collaborating with department leadership on equipment needs and other departmental costs for budget development
- Assisting in managing daily calendars for department leadership and department calendars
- Creating and scheduling various meetings, including coordinating with both internal and external agencies on meeting availability
- Coordinating and scheduling conferences and travel arrangements
- Tracking and monitoring various budget reports and spreadsheets, including maintaining all financial documents related to department spending
- Performing purchasing coordination for the department
- Preparing reports and compiling documents to support the use of grant funds
- Maintaining, inventories, and ordering office supplies for the department
- Assisting with updating policies and procedures
- Recording and preparing meeting minutes as required
- Preparing and submitting agenda items for required purchases and approvals
- Reviewing, collecting, transcribing, and processing paperwork and preparing documents for electronic use
- Maintaining department records, as well as overseeing retention and storage of department files
- Serving as primary point of contact for all payroll related items
- Assisting and attending Emergency Operations Center activations
- Attending all meetings and trainings, as required
- Performing special duties as assigned

Minimum qualifications :
Associate degree and two (2) years of office management / administration experience including fiscal and budget tracking practices; OR an equivalent combination of education and experienceWorking knowledge of Microsoft Office SuiteLicenses and certifications :
Valid driver's licenseCriminal Justice Information Services (CJIS) Awareness trainingFederal Emergency Management Agency (FEMA) Incident Command System (ICS) 100, 200, 700, and 800 course completionPreferred qualifications :
Prior experience in Public Safety or Emergency ManagementTwo (2) years of experience in accounting or budgetingEmployment testing :
