Job Duties Duties & Responsibilities Clinical Education Support : Assists students and clinical faculty with successful completion and submission of clinical education-related training and compliance activities, troubleshooting use of clinical education software and assessment programs (Exxat, Clinical Performance Instrument 3.0, Clinical Site Information Form, and others). Assists Director of Clinical Education with clinical education database and contract management / renewals, as well as communication with clinical faculty regarding clinical experience slot requests, clinical site requirements for students, and distribution of contact hour certificates to clinical faculty following clinical experiences. Sending and managing survey responses and preparing reports from surveys and clinical education data for Director of Clinical Education to utilize for clinical education program evaluation and accreditation purposes. Assist with DPT program event planning and coordination (e.g. Annual Job Fair), as well as DPT publications (e.g. Clinical Education Newsletter). Duties & Responsibilities Administrative / Clerical Support : Acts as first point of contact for the Doctoral Physical Therapy (DPT) program. Performs research to provide background information and support for matters being addressed by the program director. Manages the logistics of faculty searches. Prepares paperwork and contracts for adjunct faculty, courses, workshops, meetings, and other activities sponsored by the DPT program. Manages the day-to-day operations for the administrative office. Supervises the clerical and support staff of the office. Oversees work assignments and workflow. Maintains building key inventory; monitor department asset purchases and inventory. Coordinates building maintenance and improvements and purchases of common furnishings, etc. with physical plant and departments. Duties & Responsibilities University processes : Organizes and supervises staff and faculty searches in appropriate university system Communicates critical information / changes to administrative staff. Monitors department for compliance with university policies and procedures. Interviews, supervises, oversees workload, manages student employee schedules, and approves timesheets. Advises program director on personnel matters. Duties & Responsibilities Admissions Administration : Manages all administrative processes for admissions for approximately 300 graduate applicants annually. Manages WebAdmit PTCAS admissions management system. Works effectively with the Program Director, as well as clinical education office, to develop new systems and procedures to increase efficiency and effectiveness. Prepares all files for the interview and admissions cycle for the DPT program. Performs transcript evaluation of courses for each applicant and prepare data for admissions committee. Coordinates interview process and reviews deficiencies with all interviewed applicants after their interview. Generates appropriate letters for applicants. Reviews / updates PTCAS webpage and DPT Admissions webpage. Duties & Responsibilities Student Support : Oversees database and files of student records for physical therapy program. Creates and disseminates surveys for spring and fall semesters. Serves as program liaison to provide guidance in the efficient use of ExamSoft across DPT courses. Assists program director in the planning of the annual New DPT Student Orientations. Duties & Responsibilities Special Events : Arranges meetings, workshops, conferences, and events making appropriate reservations, working with catering, recruiting and supervising volunteers; preparing signs; preparing packets and agendas, etc. Duties & Responsibilities Annual Accreditation : Manages activities for successful accreditation submission and clinical compliance. Create and provide reports for annual accreditation submission. Duties & Responsibilities Financial Management (not grant / contract related) : Manages travel arrangements and travel claims for the Doctor of Physical Therapy (DPT) program director and DPT faculty members. Oversees various travel budgets and ensure that they are not over expended. Initiates purchase (supplies and equipment) and payments as needed. Investigates and resolves any discrepancies.
