Executive Suite Assistant
Mantech seeks a motivated, career customer-oriented Executive Suite Assistant to join our team in Portsmouth, VA. This is an Onsite position. The responsibilities include but are not limited to :
- Managing communications by screening calls and visitors, handling correspondence, and routing inquiries to the appropriate parties.
- Maintain the appointments calendar, ensuring that the schedule is executed or adjusted as necessary.
- Arranging meetings, preparing agendas, notifying participants.
- Utilize Defense Travel System (DTS) to arrange complex domestic and international travel logistics. Performing actions such as : creating Travel Authorizations, getting required approvals from the Authorizing Official (AO), booking travel, addressing itinerary changes with DoD commercial Travel Management Company (TMC), escalating travel issues to the local Transportation Management Office (TMO) or Travel Assistance Center (TAC) as necessary, completing and filing Travel Voucher for reimbursement of expenses in accordance with the Joint Travel Regulations (JTR)
- Assembling information for briefings, tracking command action items, and maintaining files on SharePoint databases.
- Creating graphic exhibits, newsletters, and brochures using various software applications.
- Drafting, editing, and transcribing a variety of documents, including briefings, meeting minutes, reports, and routine correspondence, while maintaining high standards for format, spelling, and grammar.
- Assisting with the planning of official functions, such as award presentations and retirements.
Minimum qualifications :
10+ years of relevant professional experience in Navy Administrative and Executive assistant rolesAbility to follow direction and work within a teamExcellent skills with Microsoft Office applications (Outlook, Word, Power Point, SharePoint, Excel, Access)Experience booking, coordinating and expensing government travelPreferred qualifications :
15+ years of relevant professional experience in Navy administrative and executive assistant rolesExperience working with Navy Activities addressing Shipboard Maintenance or Modernization Availability Planning a plusClearance requirements :
U.S. Citizenship required and an active Secret security clearancePhysical requirements :
