Accounting & Operations Coordinator (Part Time)
We are looking for a highly detail-oriented Part-Time Accounting & Tax Operations Specialist to support accounting, tax, and operational needs across a large portfolio of entities. This role will be instrumental in verifying quarterly tax payments for 150+ entities, coordinating with our CPA firm, and ensuring compliance across all companies. The ideal candidate has hands-on accounting / tax experience, thrives in a fast-paced environment, and enjoys building systems to improve efficiency.
Key Responsibilities
- Tax Coordination & Compliance
- Verify and calculate quarterly tax payments across 150+ entities.
- Coordinate with CPA firm and internal team to ensure timely and accurate filings.
- Maintain accurate tax tracking schedules and documentation for compliance and audit purposes.
- Accounting & Financial Management
- Manage daily entries in QuickBooks (or other accounting software).
- Track loan payments and amortization schedules across dozens of companies.
- Work with CPA firm to ensure financials align with internal records.
- Support annual financial statement audits for 150 companies, including liaising with audit firms and providing requested documentation.
- Manage 1099 reporting and compliance for over 150 client companies annually.
- Systems & Efficiency
- Build and refine systems to improve financial tracking, reporting, and operational workflows.
- Implement tools and processes that reduce inefficiency and manual errors.
- Operations Support
- Assist the internal team with operations projects beyond accounting (administrative, organizational, and process-oriented tasks).
Qualifications
5+ years of accounting or tax-related experience, preferably with multi-entity structures.Strong knowledge of quarterly tax payment calculations and IRS compliance requirements.Experience working with CPA firms and / or coordinating annual financial statement audits.Proficiency in QuickBooks or similar accounting software.Experience managing 1099 reporting processes.High attention to detail, accuracy, and organizational skills.Ability to manage multiple projects and entities simultaneously.Strong communication skills and ability to work across teams and external partners.Core Competencies :
