We are seeking an Office Administrator to join our small, flexible team. The ideal candidate will thrive in a dynamic environment, wearing multiple hats and supporting various administrative functions. Key Responsibilities
- Act as the first point of contact for customers and clients visiting the office, providing a friendly and professional representation.
- Answer and route phone calls to the appropriate team members.
- Support inventory management, including reviewing and logging purchase orders, assisting with inventory updates, and coordinating material procurement.
- Assist with office supply orders and overall office management.
- Collaborate with estimators and architects on small estimation tasks (training provided).
- Process credit card and cash transactions, and coordinate payment receipts with the accounting team.
- Help track, file, and maintain vendor and supplier documentation.
- Interface with shop personnel and project managers to schedule production and manage material needs.
- Use Microsoft Office and accounting tools to track and update company data.
- Assist with general accounting duties, such as filing and basic bookkeeping.
- Foster effective relationships with both office and shop personnel, ensuring smooth communication and workflow.
- Requirements Proficiency in Microsoft Office applications and general computer systems.
- Excellent written and verbal communication skills.
- Attention to detail and the ability to multitask effectively in a fast-paced environment.
- A positive, patient, and tolerant attitude toward working with diverse teams, including office staff and construction or shop personnel.
- High school diploma or equivalent required; additional office experience (3+ years preferred) is a plus.
- Ability to lift and move boxes or office equipment occasionally (up to 20 lbs).
- Open to candidates with varying levels of experience; training is provided for the right candidate.
