Event Coordinator - Loyola - Downtown Catering (Chicago)

Job Description

The Catering Sales Coordinator supports the Director of Catering by coordinating logistics, managing client communications, and ensuring the successful planning and execution of catered events. This role serves as a liaison between clients, culinary and banquet teams, operations staff, and conference services to deliver high-quality service and seamless event experiences.

Long Description

COMPENSATION : The Hourly rate for this position is $25.00 to $27.00. If both numbers are the same, that is the amount that Aramark expects to offer. This is Aramark?s good faith and reasonable estimate of the compensation for this position as of the time of posting.

Job Responsibilities

• ? Respond to catering inquiries via phone, email, and in-person, providing accurate information and timely follow-ups.
• ? Assist the Director of Catering with proposal creation, contracts, Banquet Event Orders (BEOs), and client communications.
• ? Coordinate detailed event logistics including menus, timelines, rental needs, staffing, and room setups.
• ? Collaborate closely with conference services to ensure all room setups, A / V requirements, and facility needs are communicated and executed according to client specifications.
• ? Prepare and distribute setup reports and event summaries to relevant departments, including culinary, conference services, and banquet operations.
• ? Maintain and update client files, internal calendars, and sales tracking systems.
• ? Participate in client meetings, tastings, and site visits as needed.
• ? Ensure client satisfaction by managing last-minute changes and responding promptly to any concerns.
• ? Support billing processes by preparing invoices and coordinating with the accounting team.
• ? Assist with marketing and promotional efforts related to catering services.
• ? Stay informed about catering offerings, pricing structures, and seasonal menu changes.

Qualifications

Previous experience in catering, hospitality, conference services, or event coordination is preferred.

This role may have physical demands including, but not limited to, lifting, bending, pushing, pulling and / or extended walking and standing. This role may also require uniforms and / or usage of Personal Protective equipment (PPE).
