Hazen and Sawyer is seeking a professional and experienced Executive Assistant and Administrator to join our Denver office. This role requires exceptional organizational skills, impeccable attention to detail, and the ability to manage highly confidential and sensitive information with discretion and integrity. The ideal candidate is proactive, adaptable, and demonstrates strong judgment and business acumen.
This position requires periodic travel between office locations and off-site engagements, so flexibility and a willingness to travel are essential.

Key Responsibilities :
Executive Support
Provide high-level administrative support to executive leadershipCreate and format professional presentations in PowerPoint, often incorporating graphic design elementsDevelop, maintain, and analyze reports, spreadsheets, and data using Microsoft ExcelDraft and edit documents, correspondence, and reports in Microsoft WordAssist in preparing visually appealing materials for meetings, proposals, and eventsManage calendars, schedule meetings, and coordinate travel arrangementsHandle confidential information with discretion and professionalismSupport project management tasks and ensure timely follow-up on action itemsAssist with light graphic design tasks, including basic editing of marketing materials, infographics, and internal documentsPrepare accurate and timely expense reportsOccasional travel between Denver office locations requiredOperations Support
Plan, coordinate, and / or support activities and eventsCoordinate venues, vendors, budget, invite list, and research activitiesArrange catering for meetings and eventsSupport clients contact list maintenanceCoordinate travel arrangements for staff and visitorsCoordinate with Operations Manager and Project Managers to get invoices approved and to accountingDirected administrative support to the Project Managers and the Project DirectorsMarketing and Proposal Coordination
Work with engineers, scientists, and other technical staff to produce compliant and compelling storiesSupport copywriting and copyeditingAssist with the creation and maintenance of project descriptionsAssist with preparing resumesQualifications / Skills Required :
Minimum seven years as an Executive Assistant supporting senior leadership roles, or in a similar administrative roleDemonstrated ability to handle confidential and sensitive information with the highest level of integrity and professionalismExcellent verbal and written communication abilitiesAdvanced proficiency in Microsoft PowerPoint, Excel, and Word (required)Experience with graphic design tools (such as Adobe Creative Suite, Canva, or similar)Strong organizational and time management skillsHigh attention to detail and a keen eye for designAbility to handle multiple priorities in a fast-paced environmentSelf-motivated, reliable, and resourcefulDemonstrates strong work ethicPrior experience in a professional services firm preferred, experience in the engineering industry a plusMust be able and willing to travel between office locations as neededBachelor's degree preferred but not requiredWhat We Offer :
