We are looking for a meticulous and organized File Clerk to join our team in Waukesha, Wisconsin. In this long-term contract role, you will play a vital part in managing electronic HR records, ensuring compliance and maintaining the confidentiality of sensitive employee data. This position offers an opportunity to collaborate with various teams and contribute to improving efficiency in document handling and retention.
Responsibilities :
- Digitize, upload, and organize employee documents within the electronic filing system.
- Conduct regular audits to ensure HR files comply with company policies and legal standards.
- Create accurate labels and indexes for uploaded files to facilitate easy retrieval and archiving.
- Follow strict confidentiality protocols to safeguard sensitive employee information.
- Monitor and manage file retention, updates, and deletions in accordance with company policies.
- Collaborate with HR and administrative teams to support onboarding, audits, and employee records requests.
- Identify and implement process improvements to streamline electronic document workflows.
- Minimum of 2 years of experience in administrative or records management roles, ideally within HR or staffing environments.
- Proficiency in electronic document management systems and Microsoft Office Suite, particularly Excel and Word.
- Strong organizational skills with the ability to systematically manage large volumes of information.
- Exceptional attention to detail to maintain data accuracy and compliance.
- Effective verbal and written communication skills for team collaboration.
- Proven ability to handle sensitive documents with strict confidentiality.
- Familiarity with HR policies, procedures, or experience in staffing agencies is a plus.
