Overview : We are seeking a detail-oriented and adaptable Marketing Assistant to join our dynamic team in Rosemont, IL. This role is ideal for a proactive individual who thrives in a fast-paced environment and can adapt quickly to shifting priorities.

The Marketing Assistant will play a key role in supporting document creation and review, verifying materials are compelling, accurate, and aligned with brand standards. The ideal candidate will demonstrate flexibility, strong organizational skills, and the ability to manage multiple priorities efficiently.

This position offers the opportunity to collaborate closely with cross-functional teams and contribute meaningfully to the success of our marketing efforts.

• Support development of engaging internal communications content (announcements, presentations)
• Coordinate large, internal meetings (in-person and virtual)
• Provide data entry support for financial systems to inform reporting metrics and dashboards
• Help maintain accurate project and resume data in business development systems
• Monitor client and industry websites for opportunities (RFP's, RFQ's, LOI's, RSI's etc.)
• Edit and proofread multiple internal & external documents each month, providing clarity, consistency, and adherence to brand standards. Requires exceptional grammar and attention to detail
• Help recognize and celebrate pursuit successes and milestones by developing and distributing win notices
• Help deconstruct and file proposal and presentation material upon submittal
• Support development and publication of engaging proposal content that reflects HDR's brand and elevates our thought leadership
• Support workload demands of proposal managers and marketing coordinators
• Perform other duties as assigned to support department goals and operations

Preferred Qualifications

Proficient in Adobe Creative Cloud applications, including InDesign
