We’re celebrating over 10 years of excellence in veterinary specialty and emergency care—and we’re growing! Join our collaborative, high-performing team as a Veterinary Referral Coordinator and play a pivotal role in supporting referring veterinarians, patients, and our internal teams.
This position involves acting as the primary liaison between referring veterinarians, clients, and our surgical / emergency team, ensuring a seamless and efficient referral experience. The coordinator will handle the intake and processing of referral requests, schedule consultations and procedures, and provide detailed information to the community about emergency and specialty care options. They will also maintain comprehensive records, follow up on referrals, and address any questions or concerns from clients and referring practices. With strong organizational skills and a deep understanding of veterinary specialties, the coordinator ensures that each referral is managed with precision and empathy, contributing to the high standard of care and service provided by our center.
This position requires local travel up to 75% of the time to visit referring veterinary clinics, deliver marketing materials, provide in-person case follow-ups, and strengthen partnerships with the veterinary community. Some (less than 25%) overnight travel may be desired for expansion of business when needed.
Key Responsibilities
Outreach, Relationship Building & Local Travel :
- Develop and maintain positive relationships with referring veterinarians through follow-ups, hospital visits, and educational outreach.
- Conduct regular in-person visits to referring clinics (up to 75% local travel) to strengthen relationships, deliver materials, and discuss patient referrals.
- Assist in organizing Continuing Education (CE) events, newsletters, and networking opportunities for referring veterinarians.
- Gather feedback from referring clinics to enhance service quality and referral experiences.
- Represent the hospital at local veterinary conferences and community events as needed (may require evenings and weekends)
- Maintain Social media pages with team
Referral Management & Communication :
Serve as a point of contact for referring veterinarians and pet owners regarding surgery and emergency cases.Maintain open, professional communication with referring veterinary clinics via phone, email, and electronic medical record (EMR) systems.Ensure referring veterinarians receive appropriate discharge summaries and medical records.Scheduling & Coordination :
Work closely with veterinarians and technicians to prioritize urgent cases while managing a high caseload.Ensure the transfer of medical records, imaging, and lab results between referring clinics and hospital departments.Hospital & Departmental Collaboration :
Work closely with emergency, surgery, and future specialty service teams to optimize referral workflows.Participate in team meetings to improve interdepartmental communication and efficiency.Maintain accurate records of referral cases, tracking trends and identifying areas for service improvement.✨ Why You'll Love Working Here :

Excellent communication, customer service, and organizational skills.Ability to manage multiple tasks with attention to detail and empathy.Comfort working with EMRs and hospital systems (knowledge of veterinary medical records a plus).Passion for building relationships and helping veterinary professionals grow their practices.Knowledge of veterinary terminology and procedures is a big plus .Valid driver’s license and reliable transportation required for frequent local travel.Preferred Qualifications :
