This crucial administrative role necessitates a combination of strong communication, customer service, multitasking, and organizational abilities to achieve positive outcomes for both clients and the organization. A proficient Service Coordinator collaborates extensively with the Service Manager, Shop Manager, Technicians, Order Management team, and Customers. The position involves liaising with both internal and external stakeholders regarding their service and product needs. A successful candidate must demonstrate the capacity for multitasking, a sense of urgency, meticulous attention to detail, and a robust work ethic.
Duties and Responsibilities :
Maintains constant and clear communication with customers and fellow associates.
Enters and maintains Equipment Records.
Setup new prospects in the ERP system. This includes sending credit apps, standard level of service forms, tax ID forms, etc. Files or forwards all forms to corporate as required. Ensures appropriate customer information and notes are reflected in Netsuite to include the level of service, data requirements, and customer contact info.
Maintains customer records and files as required by corporate quality requirements.
Creates quotes for customers as directed by the Service Manager / Customer Service Manager.
Enters and processes all orders and manages vendor orders including any expedites working with the procurement specialist and vendors. Processes and manages all orders, including vendor orders and any expedites, in collaboration with the procurement specialist and vendors.
Processes paperwork from service manager for all work and invoices as needed for any manual orders.
Enters and maintains customer POs for work to be done or products to be ordered. Handles any customer questions and requests for returns
Any other duties that may be assigned per your Manager or the Valve Shop Manager.
Consistently maintains good work attendance and productive work ethic.
Minimum Requirements / Qualifications :
Associates Degree preferred
Computer competent with standard software packages including ERP systems and Google Suite.
Must be able to multitask, have a sense of urgency and great organizational skills, be detail oriented, and have a strong work ethic

Physical Demands of the Position :
Sit at a desk, with minimal breaks, for up to four hours at a time

Possess ability to quickly learn and retain vendor-related information as well as company policies and procedures
