Robert Half is seeking a Legal Administrative Assistant for our law firm client located in Hackensack, NJ. This role will provide critical administrative and operational support to assist a newly hired attorney during their transition into the firm. The ideal candidate will be detail-oriented, organized, and comfortable working in a fast-paced legal environment. Proficiency in NetDocuments , iTimekeep , and Microsoft Outlook is highly preferred.
Location : Hackensack, NJ (On-site, 5 days per week)
Job Type : Full-time (40 hours / week), Temporary (3–4 weeks, potential extension)
Start Date : ASAP (Preferred : Monday, October 30, 2023)
Pay : $25 / hour
Key Responsibilities
- Phone & Communication Management
- Answer calls, relay messages, and serve as a professional point of contact for clients and external stakeholders.
- Facilitate communication between the attorney and clients during the transition process.
- Calendar & Appointment Coordination
- Manage the attorney’s calendar, schedule meetings, and coordinate appointments.
- Provide reminders and follow-ups for client and case deadlines.
- Document & Mail Processing
- Receive, organize, and process documents and correspondence.
- Maintain digital and physical files using tools like NetDocuments .
- Case Management Support
- Assist with case file organization and ensure smooth transition of client information into firm systems.
- Office Operations & Billing Support
- Provide general office assistance as needed.
- Enter billing information in iTimekeep and ensure accuracy.
Requirements
Strong administrative and legal support experience.Proficiency in NetDocuments , iTimekeep , and Microsoft Outlook .Excellent organizational and communication skills.Ability to handle sensitive information and multitask effectively.Immediate availability.Proven experience working in a legal administrative role or similar position.Proficiency in legal files management and e-filing systems.Strong understanding of court filing procedures and requirements.Familiarity with case management software and tools.Excellent organizational and calendar management skills.Ability to work under tight deadlines and manage multiple priorities.Strong attention to detail and commitment to accuracy.Effective communication skills, both written and verbal.
