Summary
The Executive Coordinator will provide comprehensive support to three key executives : the Retail Deposit Operations Officer, Chief Experience Officer, and Chief Digital Officer. This role focuses on streamlining schedules, managing administrative tasks, and ensuring proactive planning for these leaders. The Executive Coordinator will collaborate across departments to document tasks related to projects and daily responsibilities within retail banking, marketing, and treasury management.
Responsibilities
- Provide comprehensive administrative support to the Retail Deposit Operations Officer, Chief Experience Officer, and Chief Digital Officer, ensuring seamless coordination of their daily operations.
- Coordinate executives' priorities, including calendar management, appointments, tasks, meetings, travel arrangements, and deadlines, while adapting to shifting priorities and interruptions.
- Act as a primary point of contact, screening phone calls and managing communication on behalf of executives.
- Manage sensitive and confidential matters while collaborating with senior executives in a corporate environment.
- Collaborate with internal and external business partners to identify business needs, outline objectives, and develop initial project analyses and functional specifications.
- Interpret and apply organizational guidelines, policies, and practices to ensure compliance and consistency.
- Take detailed notes and minutes during meetings, document responsibilities and action items, distribute notes to relevant stakeholders, and follow up on task completion.
- Plan and organize meetings, including arranging catering, preparing agendas, creating PowerPoint presentations, and distributing printed materials.
- Assist in proposing and implementing project management ideas to enhance operational efficiency and improve workflows.
- Assist in meeting deadlines by creating and formatting documents, compiling reports, and facilitating communication across departments.
- Maintain and update department SharePoint sites, ensuring accurate information and uploading necessary documents and graphics.
- Coordinate and oversee operational activities to ensure alignment with departmental and organizational goals.
- Perform other duties and special projects as assigned to support organizational objectives and enhance operational efficiency.

High School Diploma or equivalent.5 years of experience providing administrative support at the executive level.Previous experience working in a financial institution and working knowledge of the banking industry.Knowledge of business operations.Commitment to excellence with a drive to deliver effective solutions.Exceptional time management skills and keen attention to detail.High responsiveness with a quick, high-quality turnaround on tasks.Outstanding verbal and written communication skills, with the ability to collaborate effectively across teams.Excellent problem-solving skills, with the ability to think critically and find solutions.Ability to prioritize tasks effectively and meet deadlines consistently.Comfortable working in a fast-paced, cross-functional environment and acting as the go-to person for multiple business partners.Preferred Requirements
