Responsibilities :
- Greet visitors and clients at the front desk with a warm and professional demeanor.
- Manage multi-line phone systems, directing calls appropriately and taking messages when necessary.
- Perform data entry tasks, ensuring accuracy and confidentiality of information.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Maintain organized filing systems for both physical and digital documents.
- Provide clerical support including typing, proofreading documents, and preparing reports.
- Utilize QuickBooks for basic bookkeeping tasks as needed.
- Support customer service efforts by addressing inquiries and providing information to clients.
- Collaborate with team members to improve office processes and enhance overall efficiency.
Skills :
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.Strong computer literacy with the ability to learn new software quickly.Excellent organizational skills with a keen attention to detail.Effective time management abilities to prioritize tasks efficiently.Demonstrated experience in administrative roles or office management positions.Knowledge of phone etiquette and customer support best practices.Previous experience as a dental receptionist or medical receptionist is a plus.Familiarity with bookkeeping principles is advantageous.Bilingual proficiency is preferred but not required.
