Administrative Coordinator

Trellis Supportive Care is seeking an energetic and compassionate Administrative Coordinator t o provide administrative coordination in a variety of day-to-day functions that support the goals of the Clinical Education team and Compliance and Quality department.

Schedule :

  • Full-time, 40 hours per week; Monday-Friday 8a - 5p

The ideal candidate will have :

  • Two (2) years of college or business school or the equivalent in experience
  • Experience in a health care or hospice preferred
  • Excellent critical thinking and problem solving skills, with the ability to perform work with a high degree of accuracy
  • Exceptional interpersonal communication skills, both oral and written, including correct grammar and punctuation usage
  • High level of proficiency with Microsoft 365 and proficiency in compiling and tracking statistical information
  • Responsibilities Include :

  • Provide general clerical duties such as invoicing, filing, organization of records / documentation, creating and modifying documents, reports, memos, letters, schedules, presentations using word processing, spreadsheets, database and presentation software, etc.
  • Arrange and schedule meetings, prepare agendas, minutes, handouts, presentations, spreadsheets and documents needed for meetings
  • Assist with coordination of department sponsored events
  • Assist with the coordination of new hire orientation including; create schedules, coordinate speakers, assemble new hire materials and notebooks, work with HR on new employee needs, work with clinical managers to create orientation schedule / experience
  • Assist with coordination and compliance tracking of professional growth & required training classes including; CPR, hospice certification classes, maintenance of classes and data in agency's Learning Management System
  • Scheduling, distribution, and creation of monthly staff Compliance newsletter
  • Manage student nurse and other contracts
  • Provide back-up phone and front desk coverage for the receptionist in rotation with other administrative assistants
  • Answer telephones and transfer calls compassionately and appropriately
  • Greet, direct and interact with visitors and vendors using exceptional customer service
  • Maintain confidentiality and privacy for patients, families and employees
  • Build harmonious working relationships with vendors, coworkers, and the general public
  • Communicate with patients, families and all employees in a professional and courteous manner
  • Respect differences in beliefs and cultures
  • Awareness of diversity and belonging is incorporated into daily practices
