The Office of Sponsored Programs at Teachers College, Columbia University, is seeking a highly motivated and detail-oriented individual to join our team as a Post-Award Grants Specialist. The incumbent will be responsible for managing and overseeing awarded grants, ensuring compliance with grant terms, financial accountability, and successful project implementation. This position plays a crucial role in the College's ability to secure and manage grant funding to support our mission.
Job Summary / Basic Function :
Reporting to the Director of Sponsored Programs and the Post Award Grants Manager, the Senior Post-Award Grant Specialist will provide timely, high-quality research post-grant award administrative services to TC faculty in the Clinical Counseling Psychology Department (CCP) and Education Policy and Social Analysis (EPSA). The incumbent will manage a diverse portfolio including federal research grants, contracts, and foundation grants.
Responsibilities include processing financial transactions, ensuring fiscal oversight and compliance, serving as a liaison between faculty, administrators, and sponsors, providing guidance on grant administration, and creating monthly financial reports for analysis and projection.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES :
BUDGETING
- Manage activities related to externally funded projects and PI research accounts.
- Coordinate with Pre-Award SPA for setup.
- Generate and monitor monthly budget projections and expenditure burn rates.
- Review and resolve commitments and overdrafts.
- Ensure annual budgets align with award budgets.
- Create financial reports for analysis and management of sponsored projects.
- Work proactively with investigators on budget management and spending projections.
- Monitor sponsor invoicing needs and provide backup documentation.
- Maintain cost-share records and reconcile cash advances and gift cards.
CONTRACTING
Draft and coordinate subcontracts and contracts with collaborators, legal, and finance offices.Interpret terms and regulations related to grants and subcontracts.Guide researchers on federal, state, and sponsor regulations throughout the award lifecycle.Review vendor and sub-award purchase orders and invoices.Assist in drafting Banner Request Forms, noting critical award terms.PERSONNEL
Assist in hiring staff, students, and volunteers according to project needs and policies.Manage payroll processing and coordinate effort reporting.Handle staff and student appointments and terminations.Review expense reports for accuracy.REPORTING
Coordinate financial aspects of progress reports, budget requests, and project modifications.Assist in preparing financial reports for sponsors.Negotiate changes with sponsors regarding research commitments and budgets.PAYMENT PROCESSING & RELATIONSHIP MANAGEMENT
Set up purchase orders and manage procurement processes.Coordinate purchasing, accounts payable, and vendor relations.Work with research accounting to ensure timely invoicing and collections.Build collaborative relationships with college offices and investigators.SPONSOR CLOSEOUT
Ensure all project items are booked correctly before project end.Coordinate final invoicing and ensure accuracy in the general ledger.OTHER
Maintain complete records and stay updated on regulations and policies.Contribute to workflow improvements and office projects.Assist in developing post-award policies and procedures.Perform other duties as assigned.Minimum Qualifications :
Bachelor's degree or equivalent experience.3-4 years of post-award research administration experience, especially with federal and private grants.Strong knowledge of federal regulations (e.g., Uniform Guidance).Proficiency in Google Suite, Microsoft Office, and grant management systems like NIH Commons, NSF Fastlane, and Grants.gov.High accuracy and ability to work under deadlines in a fast-paced environment.Independent and team work skills, excellent customer service, and sound judgment.Strong communication, analytical, and problem-solving skills.Knowledge of research compliance regulations (e.g., Conflict of Interest, Human Subjects).Experience processing grant modifications.Preferred Qualifications :
Experience negotiating contracts and agreements.Initiative and ability to work independently and flexibly.Understanding of grant programs and application criteria.Master's degree or CRA certification.Salary Range : $76,000 - $95,000
