We are looking for a dependable and competent team member to help provide administrative and organizational support to our lawyers by managing calendars, maintaining client files, drafting correspondence and legal documents. The ideal candidate is a hard-working professional able to undertake a variety of office support and legal assistant tasks and work as part of a team. The job requires a responsible person that can work independently while unsupervised. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. Objectives Support attorneys in document production and practice management functions Represent the organization with professionalism and integrity when dealing with clients and third parties Maintain strict confidentiality of organizational and client information Responsibilities Direct phone calls, greet, announce, and route visitors / clients Keep attorney calendars accurate and updated with meetings and appointments Establish and maintain tasks list Organize office and prep conference rooms for clients Accurate data entry with attention to detail Articulate and consistent with correct information provided on phone and email Create and update office files as needed Communicating with clients via phone, by email and in person Performing initial background research and briefing the lawyer Seeing to administrative tasks like making copies and sending invoices Attending meetings alongside the Lawyer to serve as a witness or notary for signings Organizing documents for physical and electronic record keeping Transcribing, drafting, revising and proofreading correspondence and legal documents Maintaining client confidentiality and privacy Skills Proven experience in another relevant administrative or assistant role Knowledge of computer systems Working knowledge of office equipment Able to work independently and as a team player Excellent organizational and time management skills Excellent written and verbal communication skills Proficiency on computer and telephone systems Cheerful and articulate, with pleasant phone voice Ability to work independently and be responsible Basic understanding of legal terminology (will train up where needed) Computer skills to use information retrieval, document management, appointment scheduling, word processing, spreadsheet and database software Online research skills to gather background information and relevant records Oral communication and interpersonal skills to interact positively with clients Organizational skills to maintain accurate records for multiple clients at one time Written communication skills to edit and proofread documents Employment Type : Full Time Years Experience : 3 - 5 years Bonus / Commission : No
